The Position:
The Administrative Assistant plays a crucial role in supporting the efficient operation of our organization. This position requires a proactive individual who can handle a variety of tasks, including reception duties, meeting arrangements, and office supply management.
Key Responsibilities:
- Reception Duties: As the first point of contact, greet guests and visitors warmly, announce their arrival, and direct them to the appropriate person or office. Handle incoming phone calls, screen and forward them to the relevant staff members. Ensure the reception area is tidy and well-presented. Receive, sort, and distribute daily mail and deliveries.
- Meeting Support: Ensure that meeting rooms are set up in advance of both internal and external meetings/ training sessions (order food and refreshments, as required) and that they are cleaned up after.
- Office Supply & Merchandise Inventory: Order and maintain inventory of office supplies and marketing merchandise, ensuring the office is well-stocked and organized.
- Administrative Support: Assist with various administrative tasks, including data entry, filing, and document preparation.
- Other Duties: Perform other related duties as assigned to support the team and office operations.
Qualifications:
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
- 1-2 years of administrative experience in a professional environment
- Excellent computer skills with working knowledge of Microsoft office products, including Excel, PowerPoint, Teams, Word and Outlook.
- Strong organizational and multitasking abilities.
- Professional demeanour and attention to detail.
- Ability to work in a collaborative team environment with excellent interpersonal and communication skills (written and oral).
- Experience working with a construction/development company would be considered an asset.
