This position reports directly to the Director of Talent Acquisition and is instrumental in providing support to the talent acquisition team, including:
managing job postings
scheduling interviews and meetings
preparing recruitment updates
assisting with reference checking, reporting, and other related tasks
coordinating events
responding to queries about the recruitment process and the status of specific job requisitions
Here is what you will be doing:
Acts as a first point of contact for the Talent Acquisition team and directs or escalates inquires or concerns as appropriate.
Works closely with the Director of Talent Acquisition to assign requisitions in Workday, create presentations, templates and process mapping and conduct training on how to use when needed.
Drafts memos, correspondence, briefing notes/papers, presentations about trends/ issues as requested; sets up spreadsheets and accesses, conducts environmental scans.
Collaborates and manages workload independently to meet established priorities and timelines for assigned files and the related administrative processes and document management requirements. Adjusts timelines and arranges changes to deadlines when competing priorities arise.
Supports the team in posting job advertisements internally, as well as to externally job boards (such as LinkedIn etc.)
Coordinates additional job advertising as requested; serve as point-person and administrator for job board vendor relationships.
Arranges for French language translation when required.
Identifies and follows up on issues such as concerns raised by managers or applicants, and system inefficiencies. Documents issues and recommends solutions.
Supports selection process by scheduling interview panels, preparing interview documentation, and supporting pre-screening testing/interviews.
Maintains recruitment records including closing assigned requisitions. Ensures documentation is complete and archived in a timely manner.
Manages the reference check and background check process and accounts, as needed, and follows up with candidates to ensure an efficient process.
Supports the Talent Acquisition and HR partners with preparation and follow up on offer letters where needed.
Partners with Talent Acquisition to provide weekly updates to the various business leads on recruitment activity.
Schedules team meetings and facilitates when needed.
Provides excellent customer service to internal / external stakeholders.
Provides follow-up correspondence to candidates on application status via phone and email; filters issues to the appropriate party.
Assists in the development and monitoring of project plan schedules. Develops own plans for the gathering and organization of information and data, distribution of documents and tracking of deliverables.
Here is what you will need to be successful:
Education and Experience
Completion of a college certificate or bachelor's degree, major in administrative studies, business administration, health administration, or recognized equivalent.
Minimum of 2-5 years of related work experience required, ideally within Talent Acquisition.
Experience in providing support and coordination for a team and effectively able to manage multiple requests.
Ability to handle a high volume of work and find efficiencies to support a continuous improvement environment.
Experience in gathering information to support a seamless recruitment process with speed and quality.
Well-versed in MS Office (Word, Excel, PowerPoint) pivot tables, v-lookups, and interactive presentations.
Experience with applicant tracking systems and HR management information systems and related databases and software programs to maintain and obtain information, resolve information issues/problems and prepare reports. Experience using Workday is an asset.
Experience in planning and organizing events (both virtually and in person) is an asset.
Knowledge and Skills
Knowledge of human resources management programs including staffing, employee accommodation to assist and support the recruitment process, assist client managers and manage all documentation for assigned requisitions.
Understanding of basic organizational structures to understand client issues and provide HR support.
Strong interpersonal skills including the ability to form trust-based, credible working relationships with colleagues, managers, and candidates.
Responsible for developing and maintaining effective working relationships with HR partners across the human resources organization and with offices of client managers.
Detailed and action oriented with a high degree of responsiveness to hiring managers and candidates.
A team player and self-starter, with resilience in the face of unexpected challenges
Ability to work on multiple projects and in a fast-paced environment.
Excellent organizational skills and judgment, with a high degree of discretion and ability to maintain confidentiality.
