The Development & Administration Assistant is responsible for providing operational, administrative, and reporting support to the Foundation's fundraising activities. This position plays a critical role in ensuring donor gifts are processed accurately, fundraising activities are supported effectively, executive and board administration functions operate smoothly.
Working collaboratively across all departments, the Assistant helps maintain efficient internal systems, supports fundraising initiatives, and provides administrative leadership that enables the Foundation to deliver an exceptional donor experience.
Reports To: Finance & Administration Controller
Key Responsibilities
Executive, Governance and Operational Support
- Provide administrative support to the Chief Executive Officer and Finance and Administration Controller.
- Coordinate board and committee meeting logistics.
- Prepare board agendas, packages, reports, and supporting documentation.
- Maintain governance records and document archives.
- Assist with scheduling meetings, donor visits, and stakeholder engagements.
Event & Sponsorship Administration
- Provide administrative support for Foundation events and fundraising initiatives.
- Assist with sponsorship agreement administration and documentation.
- Support silent auctions, registration systems, donor lists, and event logistics.
Major Project Support
- Provide administrative support for capital campaigns and major Foundation initiatives.
- Assist with the preparation of reports, meeting materials, presentations, and supporting documentation.
- Maintain project records and documentation to ensure information remains current and organized.
- Provide logistical and administrative support for campaign meetings, events, and stakeholder engagement activities as required.
Scholarship & Education Fund Administration
- Coordinate the administration and oversight of the Foundation's scholarship, and education funding programs in partnership with external administrators and stakeholders.
- Prepare materials, coordinate selection committee meetings, and support fair, transparent, and consistent funding decision-making processes.
- Coordinate recipient communications, award notifications, and the collection of reports, testimonials, photos, and impact stories.
Other Duties
- Maintain donor confidentiality and protect Foundation operations by safeguarding sensitive information.
- Serve as an ambassador for the Foundation.
- Participate in Foundation events and activities as required.
- Pursue ongoing professional development opportunities.
- Perform other related duties as assigned.
Pay: $40,000.00-$60,000.00 per year
