We currently have a Temporary Full-time opportunity for a COVID Administrative Assistant in the Occupational Health and Safety department at our Bayvew Campus.
Purpose of the Role:
Provide administrative support to daily operations of the Occupational Health & Safety Clinic (OHS) Clinic and staff COVID-19 testing.
Ensure staff COVID-19 paperwork/requisitions are accurate
Perform screening and checking in of employees for a COVID-19 swab in a professional and courteous manner
Screen employees for basic symptoms (list to be given)
Complete COVID paperwork for data entry
Answer phone calls– screen and redirect staff if required
Check in employees and place them on the signup sheet
Offer alternatives to visitors or staff seeking services not available from OHS
Process department requests and monitor
Provide administrative support to Management
Monitors service quality, and identify opportunities for improvement
College diploma or undergraduate degree
Must be organized in approaching work tasks and able to prioritize effectively to deal with competing demands
Must have excellent working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)
Must be proficient in written and oral communication skills to support our requirement to read, edit and compose correspondence
Must be very adept at exercising tact and discretion when dealing with highly sensitive and highly confidential issues
Must be able to demonstrate flexibility as well as a comfort level with taking initiative on a wide range of issues
Must be able to work independently with limited direction
Good problem-solving skills and an ability to work as a team member
Must demonstrate the ability to appropriately respond to changing circumstances
