Job Summary:
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant for a one-year contract covering maternity leave. This vital role involves managing front desk operations, providing exceptional customer service, and supporting daily administrative functions to ensure smooth office operations. The ideal candidate will be proactive, organized, and capable of handling multiple responsibilities with enthusiasm.
Responsibilities:
- Answer and direct phone calls to appropriate party
- Processing sorting and routing incoming and outgoing mail and courier
- Act as first point of contact for visitors
- Booking rooms
- Monitor and managing inventory of office and kitchen supplies as necessary
- Filing, scanning, copying, faxing
- Drafting email and correspondence to clients
- Liaising with facilities/caretaking staff to facilitate resolution of building issues and submitting service orders
- General administration
- Ensure a clean and professional appearance of all areas of the office
- General office upkeep including maintaining the kitchen, boardroom and other areas of the office
- Update and maintain company contact list
