Role Summary
Pinewood Toronto Studios ("PTS") is looking for a new permanent full-time Client Relations Coordinator (“CRC”) to join our Client Relations team. Located minutes East of Toronto's Downtown core, in the Studio District, PTS offers 16 purpose-built sound stages, including the industry-renowned Mega Stage.
Our CRCs are key to creating a positive first impression and first class experience for our clients and visitors to the PTS lot. The Client Relations Team reports to the VP Commercial, under the supervision of the Client Relations Supervisor. The CRC must be able to work independently and unsupervised to successfully and carefully complete work that is integral to the success of the team, the company and our clients.
The Client Relations Team is scheduled in 8 hour overlapping shifts to ensure our clients’ needs are met at all reasonable hours. The Client Relations Team currently staffs the main reception desk between the hours of 7 a.m. to 6 p.m. (these hours are subject to change).
Please note this position is NOT production-related.
Principle accountabilities
- Work shifts at PTS’ main reception desk which includes answering incoming calls, greeting and screening clients and visitors
- Ensure that superior customer service is delivered at all times to colleagues and clients
- Meet client expectations in a timely and cost-effective way.
- Assist with internal administrative tasks including scheduling, organizing and staffing special events, drafting communications, sending and receiving deliveries.
- Tend to client requests, including troubleshooting Xerox issues, coordinating with network service provider, receiving and circulating service requests to the appropriate internal and external contacts, following up on status of service requests and providing thoughtful, timely and helpful updates, booking boardrooms and other support spaces, setting up and clearing meeting rooms
- Order and maintain an inventory of various office and Xerox supplies
- File, photocopy and fax as required
- Monitor site, stage and office activities of clients to ensure they are operating within the scope of PTS’ site rules and regulations
- Maintain security protocols by updating visitor management system; issuing visitor badges and NDAs
- Prepare internal Daily Security Report for all staff regarding updates, changes and additional information about upcoming activities on site
- Liaise with PTS Maintenance and PTS Security regarding service requests, deficiencies, safeguards and upkeep of the facilities
- Assist the Sr. Facility Manager in initiating/tracking/closing out service requests
- Investigate and respond to client concerns and take corrective action as required
- Work with the Commercial team as appropriate to recommend, quote and book additional support spaces and services for clients
- Work with Finance team as appropriate to ensure clients are invoiced for additional support spaces and services on a monthly basis, or within 24 hours for one-off requests.

- Ability to work occasional overtime hours, including some weekends, as required
- Post-Secondary Degree or Diploma or equivalent.
- Experience in customer service, client relations, hospitality or administration.

- Salary range is $43,500 to $49,500, commensurate with experience.
- Discretionary annual bonus based on Company and individual performance.
