Job Summary
We are seeking a detail-oriented and organized Accounts & Administrative Assistant to join our team. This role is vital in supporting daily office operations, managing financial records, and providing exceptional customer service. The ideal candidate will possess strong clerical skills, background in accounting, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Duties
- Manage full-cycle accounting functions, including Accounts Payable, Accounts Receivable, bank reconciliations, journal entries, and general ledger maintenance.
- Prepare quarterly, and annual financial statements, trial balances, and supporting schedules for management review and external accountants.
- Perform month-end and year-end closing activities using accounting software such as Sage 300.
- Maintain accurate bookkeeping records and ensure compliance with accounting standards and company policies.
- Prepare and file HST returns and assist with corporate tax preparation, audits, and coordination with external CPA firms.
- Coordinate with U.S.-based CPA firms and liaise with regulatory authorities including the IRS and U.S. Department of Labor regarding payroll, tax, and compliance matters.
- Reconcile intercompany transactions and oversee accounting operations across multiple business entities and subsidiaries.
- Assist with budgeting, forecasting, cash flow management, variance analysis, and financial reporting to support strategic business decisions.
- Calculate sales commissions, manage international supplier payments, and verify receipt of products and supporting documentation.
- Support pricing administration by updating price lists, rebate structures, and communicating market pricing adjustments to dealers and distributors.
- Oversee inventory accounting and operational reporting to ensure accurate financial and stock records.
- Manage commercial property accounting functions including rent calculations, TMI reconciliations, lease administration, and tenant communication.
- Develop and maintain internal controls, monitor financial performance, and provide analytical reports to management to support organizational growth.
- Prepare detailed financial analyses, account statements, and management reports in a timely and accurate manner.
Requirements
- Proven experience with Office applications such as Microsoft Office and Google Workspace
- Strong computer skills with proficiency in data entry, typing, and document proofreading
- Previous clerical or administrative experience in an office setting preferred
- Familiarity with accounting software like SAGE is highly desirable
- Excellent organizational skills with attention to detail
- Strong customer service skills with professional phone etiquette and communication abilities
- Ability to handle multiple priorities efficiently in a fast-paced environment
- Prior experience with front desk operations and multi-line phone systems preferred
- Demonstrated ability to support bookkeeping tasks and manage financial records accurately
Pay: From $45,000.00 per year
