Seeking a full-time Administrator / Project Coordinator.
The successful candidate will be an organized, proactive, and customer-focused Project Coordinator to support our Project Managers in delivering exceptional restoration services. This is a fast-paced role where you'll coordinate projects, communicate with clients and customers, and ensure jobs move efficiently from first notice of loss through completion.
Job Description
- Coordinate new insurance claims and set up project workflows
- Create and manage work orders and purchase orders for internal teams and external vendors
- Manage and create requests for quotes, schedules, and project documentation
- Communicate with insureds, adjusters, and vendors in a professional and timely manner
- Track job progress, update workflow/KPI statuses, and maintain accurate project records
- Prepare work authorizations, deductible and deposit invoices, and client documentation
- Coordinate estimate submissions and monitor client guideline compliance
- Assist with invoicing by completing margin checks and ensuring project costs are accurate
- Schedule follow-ups with clients, Project Managers, and trades to keep projects moving
- Update schedules to reflect job changes and communicate any changes to clients and applicable trades
- Review and respond to assigned work order communications
- Coordinate logistics such as elevator bookings and site access requirements
- Prepare and ensure all required materials (keys, deposits, etc.) are ready and available for upcoming jobs
- Follow up with internal teams and clients to confirm unverified or pending work
Job Requirements
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Ability to prioritize multiple tasks in a high-volume environment
- Confidence working with Microsoft Office and learning industry software
- Strong attention to detail with accurate documentation and proofreading skills
- A collaborative team player who isn't afraid to ask questions or offer support
Pay: $45,000.00-$50,000.00 per year
