The Clinical Clerical Assistant reports to the Manager of Seniors’ Services and Primary Care. The successful candidate would provide administrative support for Trillium Health Partners’ Seniors’ Services and Specialized Geriatric Services and regional programs including the Geriatric Assessment Clinics, Falls Prevention Programs, Geriatric Medical Outreach, and Continence Programs. The role will primarily be located at either the Credit Valley Hospital site or the Queensway Health Centre and may require travel between hospital sites. The CCA works in collaboration with a large administrative team across multiple sites to process patient referrals and appointments in a very busy, fast paced environment. The role requires high attention to detail, combined with accuracy, speed, and excellent customer service.
Completion of a clerical/secretarial training program or equivalent education and experience preferably in a health care environment
Proficient in Microsoft Office applications including Outlook, Word, Excel and Access; experience with Visio, and Acrobat Professional an asset
Experience using patient related databases, knowledge of Meditech an asset
Experience in MSM Booking
Computer data entry skills
Knowledge of medical terminology is required
Strong interpersonal, customer service and organizational skills combined with the ability to work independently
Excellent verbal and written communication skills
Attention to detail essential
Positive work and attendance performance
Provides support to an inter-professional team
Answers telephone calls; first point of telephone contact for various Seniors’ Services programs
Responds professionally to queries from staff, physicians, volunteers, patients, family members and the general public
Receives and processes referrals including scheduling appointments, communication with inter-professional team, completing home safety screen appointment reminders
Monitors, tracks and coordinates referrals
Requests and assists with gathering complete referral information as required (e.g. calling for lab results)
Performing clerical support functions such as preparing charts, responding to emails, faxing reports and letters, entering data, recording program statistics, producing education/patient materials, scheduling meetings and booking rooms, preparing agendas, taking minutes and assisting with preparation for education workshops
Assists with other related tasks such as ordering of office supplies and clinical supplies for the team
As a member of the Seniors’ Services clerical team, provides back up for colleagues at various hospital sites (Credit Valley Hospital, Queensway Health Centre, Mississauga Hospital)
Other related duties as assigned
