Role Summary
The Operations & Client Services Coordinator is the organizational engine of our daily business. You will own the flow of information across clients, internal teams, vendors, and third parties — ensuring orders are entered, billings are processed, communications are timely, and nothing falls through the cracks. This role sits at the intersection of administration, client services, team coordination, and project execution.
You will be relied upon to prioritize independently, communicate proactively — especially when deadlines are at risk — and bring consistent attention to detail to every task. The work is varied, meaningful, and genuinely fast-paced. We promise you will not be bored.
Key Responsibilities
Billing & Accounts
- Process daily billing, including credit card payments via physical terminal
- Manage accounts receivable and accounts payable
- Upload supplier invoices to DEXT (accounting software)
- Prepare and schedule outgoing payments
- Work alongside our bookkeeper to maintain accurate, up-to-date accounts
Order Entry & Client Services
- Receive and process daily client orders using Shopify
- Prompt wholesale clients for weekly orders and manage order cutoff compliance
- Communicate order details and special requests to the Production Manager
- Respond promptly and professionally to client inquiries via phone, text, and email
- Provide product information to both consumer and industry clients
Internal Team Coordination
- Maintain daily alignment with the sales team, marketing team, and team managers
- Ensure priorities are clearly communicated and tasks are executed on schedule
- Flag conflicts, risks, or deadline concerns proactively and constructively
- Contribute to the development and documentation of protocols and procedures as the business grows
Event Planning & Execution
- Coordinate event logistics including venue/host communication, product preparation, and delivery
- Liaise with third parties to align tasks, goals, and outcomes
- Work with team managers to ensure all supplies and materials are prepared and on-site on time
Organization & Communication
- Manage and prioritize a high volume of daily tasks across multiple channels: phone, text, email, and Slack
- Maintain organized digital records, Slack Canvases, calendars, and project tracking systems
- Use physical notes, whiteboards, reminders, and alarms as part of a disciplined daily workflow
- Ensure advanced communication is initiated whenever a deadline is at risk — no surprises
Occasional & Evolving Responsibilities
- Create signage and resources using Canva as needed
- Update or develop operational protocols to support business growth
- Take on new responsibilities as the business evolves and opportunities arise

- Relentless attention to detail — errors in billing, scheduling, and order entry create downstream consequences
- A self-starter mentality with a growth mindset and a whatever-it-takes approach
- Adaptability in a fast-paced, high-volume environment
- Familiarity with tools such as Shopify, DEXT, Slack, Canva, Google Drive, Google Sheets, Apple Notes, Apple Calendar, Numbers, Keynote, and Pages is strongly preferred — but not a dealbreaker. The right candidate will bring the enthusiasm and willingness to learn whatever tools the role demands.
- Experience in admin support, customer service, bookkeeping, or small business operations is a strong asset
- Background in food, beverage, hospitality, or wellness industries is a plus
Schedule & Compensation
Hours: Monday to Friday, approximately 8:00 AM – 5:00 PM
Location: In-person — 107 Research Drive, Dartmouth, NS
Starting Wage: $18–$22/hr during probationary period, based on experience and demonstrated competency
Compensation during the probationary and training period reflects the level of onboarding support required and how quickly you adapt to the role. You will receive clear KPIs and regular guidance so expectations are never a moving target. Our aim is for your compensation to grow in step with your ability to own this position — with a salaried offer following successful completion of your probationary period.
