Job Overview
We are seeking a detail-oriented and organized Parts Coordinator to join our team. The ideal candidate will manage inventory, facilitate procurement processes, and ensure the seamless flow of parts within our operations. This role is vital for maintaining efficient supply chain activities, supporting manufacturing processes, and providing excellent customer service. Prior dealership experience and familiarity with ERP systems are highly desirable. The Parts Coordinator will play a key role in sourcing, negotiation, and inventory management to optimize operational productivity.
Duties
- Essential Duties and Responsibilities:
· Manage the annual spare-parts budget of approximately $2 million
· Serves as the subject-matter expert for the Interal CMMS, troubleshooting user issues, coordinating with software support, and performing system configuration.
· Creates and maintains Preventive Maintenance programs for new and existing equipment.
· Identifies and corrects inventory mismatches within Interal; ensures stock levels and consumption data remain accurate.
· Uses the Cyframe ERP system to procure parts, create purchase orders, and receive goods.
· Develops Power BI dashboards for financial and operational reporting.
· Leads technical aspects of the RFID modernization project to improve inventory tracking.
· Supervises a two-person project team assisting with RFID implementation.
· Oversees workflow for RFID labeling, organization, and process improvements.
· Produces weekly financial and operational reports using Power BI.
· Coordinates with the Maintenance Manager on project progress and resource allocation.
· Ensures compliance with procurement controls and approval processes.
· Communicates lead times and procurement risks for critical parts to the Maintenance Manager.
· Notifies requestors when parts arrive and coordinates urgent deliveries as required.
· Communicates with vendors regarding purchase orders, delivery status, and discrepancies.
· Provides documentation and updates to maintenance staff on PM program changes and system updates.
Skills and Qualifications
· Diploma in Mechanical, Electrical, Industrial Engineering Technology, or related field.
· Minimum 3 years ERP (Cyframe), CMMS (Interal), Power BI reporting, procurement processes, inventory management.
· Minimum 3 years in maintenance planning, procurement, or inventory management.
· Strong multitasking, organizational and communication skills
· Exceptional organizational skills and attention to detail.
· Computer literacy is required.
· Excellent customer service and customer relationship skills
· Experience in parts/purchasing.
Physical and mental effort:
· Standing, walking, and moving over and through equipment.
· Can be heavy lifting, pulling, or wrenching.
· Many activities and movements require constant attention to detail.
· Good reading and verbal communication skills are required.
· Ability to lift and carry up to pounds frequently.
