OUR ROLE
The Wilde Events Coordinator is responsible for planning, coordinating, and executing private dining, corporate, social, and catering events within the Wilde on 27 and Prologue Café. This position is designed to deliver an exceptional level of guest service and attention to detail while supporting both external clients and internal restaurant operations. Acting as a liaison between the culinary and service staff, restaurant management, and other operational departments, the Events Coordinator helps ensure seamless event execution and memorable guest experiences that reflect the restaurants’ elevated standards of hospitality and our Michelin Key service.
Key accountabilities include:
Always provide the highest quality of service to our guests and associates alike, setting a shining example for our team.
Coordinate and oversee all aspects of private dining, corporate functions, social gatherings, and special events from initial inquiry through post-event follow-up.
Serve as the primary point of contact for clients, ensuring a high level of personalized service and responsiveness throughout the planning process.
Prepare event proposals, contracts, banquet event orders (BEOs), floor plans, and event timelines with accuracy and attention to detail.
Collaborate closely with the culinary, beverage, service, and management teams to ensure seamless execution of all events.
Conduct site tours and client meetings to showcase event spaces and discuss event requirements, menus, décor, and service expectations.
Manage event calendars, booking schedules, and reservation coordination to maximize space utilization and revenue opportunities.
Assist in customizing menus, wine pairings, and event experiences in partnership with chefs and beverage managers.
Coordinate with external vendors, florists, entertainers, rental companies, and other event partners as required.
Ensure all event details, special requests, dietary restrictions, and VIP preferences are communicated clearly to operational teams.
Monitor event setup and execution on-site to ensure service standards, presentation, and guest expectations are consistently exceeded.
Handle client inquiries, changes, and concerns professionally and efficiently before, during, and after events.
Support sales initiatives by building strong client relationships and encouraging repeat and referral business.
YOUR STORY
A seasoned professional with a minimum of one year of experience in a related or similar position planning and hosting events in an upscale restaurant.
A Hospitality, Tourism or Events program graduate or degree holder.
Someone with an outstanding work ethic, along with a track record of reliability, punctuality and an approachable demeanor, with a strong commitment to Safety.
Someone with excellent communication and customer service skills.
Able to work well under pressure, multitask and enjoys a fast-paced environment.
Able to combine event planning and day-to-day management of tasks.
The flexibility to work varying schedules as required by the needs of the business and timing of events, which could include evenings, weekends, and holidays.
Physically able to sit, stand and walk for extended periods of time and lift up to 25 lbs.
