Overview:
We are seeking a long-term full-time dedicated and detail-oriented Medical Office Assistant to join our Pediatric Admin team. This role is essential in ensuring the smooth operation of our busy multi-physician office, providing exceptional support to both patients/families and our physicians. Experience working with electronic medical or dental records is required - proficiency in Accuro EMR is an asset. Having a Medical Office Assistant/Unit Clerk diploma is also a strong asset.
Please do not apply if you are not living in the local Halifax area at the time of your application. We cannot offer relocation assistance. You must be reliably available for 8-hour full-time shifts Monday to Friday between the hours of 7:30am and 5:30pm. This is not suitable for students.
Front Desk Duties:
- Exceptional customer service skills in a high volume reception role.
- Manage front desk, including greeting patients ensuring accuracy of patient demographics and valid MSI coverage.
- Register new patients and updating demographics and medical histories as required.
- Schedule and confirm appointments for patients, ensuring optimal use of time slots and eliminating gaps in the schedule.
- Enter information with laser-sharp precision into the electronic medical record system, accurately and completely (EMR: Accuro).
- Ensure compliance with health regulations and maintain patient confidentiality at all times.
- Answer incoming calls, emails, faxes and correspondence in a timely and professional manner, and relay accurate detailed messages.
- Complete tasks assigned by the physician, including referrals, follow-ups, and other patient-related requests.
- Manage incoming and outgoing paperwork and sensitive health information appropriately in a timely manner.
- Assist the physician in facilitating urgent patient needs, and coordinate with other healthcare providers as necessary.
- Uphold clinic policies while maintaining professionalism with sometimes challenging patients and/or family members.
Skills:
- Fluent mastery of spoken and written English is required, with strong communication skills, to interact with patients and staff professionally.
- Meticulous attention to detail and consistency are essential.
- Proficiency in medical office procedures and familiarity with electronic medical records systems, with Accuro EMR proficiency being a particular asset.
- Strong computer and organizational skills with exceptional attention to detail, and error-free accuracy in data entry.
- Comprehensive understanding and use of medical terminology is essential for effective communication.
- Experience working in a medical office setting is required, particularly as a medical receptionist.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Ability to work collaboratively while maintaining individual responsibilities.
- Attention to detail is crucial for managing patient records and ensuring accuracy in scheduling.
- Ability to adapt to changing schedules and timelines.
- Ability to work collaboratively within a team environment while maintaining professionalism and a positive attitude at all times.
- Ability to maintain composure and professionalism when confronted with upset or frustrated clients by phone and in person.
Required Qualifications:
- 2 years of prior experience in a CLINICAL setting, Medical Office Assistant or Unit Clerk Certification is a definite asset.
- Experience with EMR system is required - Accuro preferred.
- Experience with third party billing.
