We're a fast-growing food manufacturing company expanding into the U.S. We need a Special Projects Manager who can take ownership priorities and systematically execute them—driving projects, coordinating people, improving processes, and ensuring things get done.
This role touches operations, procurement, administration, finance coordination, and special projects across the business.
This is not a traditional administrative role. We are looking for a highly organized executor who thrives in a fast-paced entrepreneurial environment and enjoys turning ideas into results.
AI fluency is a must.

About the Role
We are looking for a highly organized Executive Operations Manager to work directly with ownership and help drive execution across multiple businesses and projects.
This is not a traditional executive leadership role. Success in this position comes from turning ideas into completed projects, maintaining accountability, improving systems, and ensuring priorities move forward efficiently.
You will act as a force multiplier for ownership by coordinating initiatives, tracking action items, improving processes, and ensuring projects are completed on time and to a high standard.

Responsibilities
Project Coordination & Execution
- Manage projects assigned by ownership from initiation through completion
- Track deliverables, deadlines, and action items across multiple priorities
- Coordinate internal and external stakeholders to ensure projects stay on track
- Identify roadblocks and proactively recommend solutions
Executive Support
- Manage calendars, meetings, travel, and scheduling
- Prepare meeting agendas, notes, and follow-up action items
- Coordinate communication with vendors, consultants, customers, and business partners
- Ensure important priorities do not fall through the cracks
Operations & Administration
- Build and maintain standard operating procedures (SOPs)
- Improve workflows and operational systems
- Assist with procurement, vendor coordination, and contract administration
- Support bookkeeping coordination, banking administration, accounts payable, and accounts receivable processes
Research & Special Projects
- Conduct business research and analysis
- Assist with expansion initiatives, operational improvements, and strategic projects
- Use AI tools and technology to improve efficiency and streamline processes
- Prepare reports, summaries, and recommendations for ownership
Qualifications
- 3+ years of experience in operations, administration, project coordination, executive support, or a similar role
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- Ability to manage multiple projects simultaneously
- Strong proficiency with Microsoft Office, Google Workspace, and AI tools
- Financial literacy and comfort working with spreadsheets and business data
- Self-motivated with a strong sense of ownership and accountability
