The Nursing Unit Clerk plays a key role in supporting the nursing department by coordinating staffing schedules and providing clerical/administrative support. This position ensures accurate records, effective communication, and smooth daily operations within the long-term care home. The role balances scheduling responsibilities with resident care documentation, admissions support, supply management, and quality improvement initiatives.
Key Responsibilities:
- Greets all visitors by promoting and respecting Residents’ Bill of Rights through all interactions with residents, family members, staff and all customers of the Home.
- Answers phones and greets visitors and guest as they arrive in the home.
- Assists with staff scheduling and replacements.
- Carry out all assigned duties in compliance with applicable Occupational Health and Safety legislation and Company policy.
- Follow safe work practices as directed by their supervisor and as required by the applicable Occupational Health and Safety legislation.
- Participate in all required occupational health and safety training.
- Records management
- Maintains accurate and current Resident Profile.
- Assists with Payroll entry
- Assists with preparation for resident admissions, e.g. entering pertinent details regarding demographics of residents into Point Click Care system, preparation of resident name bands, door labels, resident charts, etc.
- Orders employee name badges, as required.
- Completes typing / word processing and photocopying, as directed.
- Performs all necessary clerical duties associated with the operation for nursing including Scheduling of appointments as well as escorts and transportation as required, Resident Chart Maintenance & Weekly filing on the nursing units into the resident charts.
- Assist / replace Office Manager, as required.
- Develops problem-solving activities in relation to activities within the department.
- Any other tasks as assigned.
Knowledge and Skills Required:
- High school diploma required; post-secondary education in office/medical administration or healthcare administration preferred.
- Scheduling or clerical/administrative experience in healthcare or long-term care strongly preferred.
- Knowledge of medical terminology, PCC (electronic health records), and collective agreements an asset.
- Strong organizational, time-management, and multitasking skills in a fast-paced environment.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling/database software.
- Ability to work independently while collaborating effectively with the nursing team.
Working Conditions
- Based in an office or nursing station within the long-term care home.
- Frequent interaction with residents, families, staff, physicians, and leadership.
- Regular use of computer systems, scheduling software, and telephones.
- May be required to work flexible hours (days, evenings, weekends, and statutory holidays) to address urgent staffing needs.
- Fast-paced environment with frequent interruptions and competing priorities.
- Occasional walking throughout the home to communicate with staff and deliver supplies; light lifting of materials may be required.
- Exposure to confidential and sensitive information, requiring discretion and professionalism at all times.
