Bodyworks Registered Massage Therapy & Health Network is seeking 2–3 part-time Clinical Office Administrators to join our team.
This position is ideal for individuals who are organized, personable, detail-oriented, and enjoy working in a fast-paced healthcare environment. Successful candidates will play an important role in ensuring our clinic operates smoothly while providing exceptional service to our clients and practitioners. The role requires strong communication skills, adaptability, and the ability to handle a variety of client situations with professionalism and sound judgment.
Hours: Part-time hours with flexible scheduling, between (10-20 hours/week, Monday through Friday). Applicants should be available to work a variety of shifts during clinic operating hours, Monday through Friday (8am - 8pm). Training will begin in August, with opportunities for overlap and mentorship from our current administrative team.
Key Responsibilities:
- Greeting clients and creating a welcoming clinic environment.
- Checking clients in and out for appointments.
- Processing payments and handling client transactions.
- Answering phones, responding to emails, and managing appointment bookings.
- Assisting with the day-to-day operations of the clinic, with respect to managing staff and overseeing the flow of patients.
- Maintaining client records and completing clerical duties.
- Supporting therapists and clinic staff as needed.
- Ensuring reception and common areas remain organized and professional.
Desired Background:
- Previous customer service or reception experience an asset, particularly in the health care industry.
- Strong verbal and written communication skills.
- Comfortable interacting with clients both in person and over the phone.
- Experience managing and leading a team of peers.
- Ability to work independently, and efficiently, taking initiative to assist in clinical related duties.
- Proficiency with computers and common software programs (Microsoft Office, scheduling software, email platforms, Canva, and social media platforms considered assets).
- Ability to learn new systems and procedures efficiently.
