Boutique law firm, focused on Estate Planning and Real Estate, seeks legal administrative assistant with experience in Wills and Estates to work in a small, client-focused team environment.
Core Tasks of This Role:
- Administration - including tracking and ordering supplies, sending couriers, mail, scanning documents and files, dealing with third party service providers, keeping the main floor (2 boardrooms, reception area, kitchen, and back office) tidy and organized, and spot cleaning as necessary (we have a cleaner who attends weekly for a full office cleaning);
- Client Service - being a first point of contact for clients and prospective clients, including answering multi-line telephone system, directing calls and emails to the appropriate staff member, greeting clients and obtaining required information/documents, assisting clients with simple requests and inquiries, scheduling appointments, facilitating document pick-up and drop-off, managing email inquiries including sending quotes and follow-up information;
- Legal Assistant - file administration for Wills and Estates such as producing letters and documents, organizing documents for client appointments, data entry into drafting software, producing notarial copies, and general office/file work as needed.
Preferred Education:
Legal Assistant diploma/certificate or similar education/experience.
Preferred Work Experience:
1-3 years as a legal admin or junior law clerk with experience in Wills and Estates.
Required Skills:
The successful candidate will be able to manage their time independently, prioritize tasks and re-prioritize as necessary, maintain a neat and organized desk and work environment, and be able to deal with clients during difficult and highly emotional times with kindness and compassion while maintaining professional boundaries. We are a small office, so an ability to work well with other people and personalities is required.
We are seeking someone with strong computer/technology skills and with more than a basic knowledge of Microsoft Outlook and Microsoft Word, at least a basic knowledge of Microsoft Excel, as well as strong general computer/technology skills.
Assets:
The ideal candidate will have experience with, and knowledge of, WillBuilder (or similar software), PCLaw (or similar software) and Clio.
Experience in Real Estate is also a valuable asset.
Hourly rate offered to the successful candidate will be determined by experience and skills.
