Endless Abilities Inc. is a growing behavioural treatment centre providing ABA therapy, speech-language services, and specialized educational programs for children and youth with autism and other developmental disabilities. We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support our operations team and help deliver exceptional service to our families.
Position Summary
The Administrative Assistant plays a critical role in supporting the day-to-day operations of the clinic. This position requires a self-motivated individual who thrives in a fast-paced environment, can effectively manage multiple priorities, and is able to work independently with minimal supervision. Strong customer service skills, organization, and attention to detail are essential for success in this role.
Key Responsibilities
- Perform data entry and scheduling updates across multiple systems.
- Coordinate client intakes and support the onboarding process for new families.
- Follow up independently with prospective client leads and maintain communication throughout the intake process.
- Manage and maintain client records, ensuring documentation is accurate, complete, and up to date.
- Answer and direct incoming calls, emails, and inquiries through the organization's main communication channels.
- Provide exceptional customer service to current and prospective families.
- Manage and update information within the organization's CRM system; experience with Zoho CRM is considered an asset.
- Prepare and send documents for electronic signatures and audit client records for completeness and compliance.
- Provide administrative support to the Senior Accountant and assist with department-related tasks as assigned.
- Work efficiently within multiple software platforms and databases.
- Assist with general administrative duties and special projects as assigned.
Qualifications
- Minimum 2 years of administrative experience in a professional office environment.
- Proficiency with Google Workspace (Gmail, Google Calendar, Google Docs, Google Sheets, Google Drive).
- Experience with CRM systems; Zoho CRM experience is strongly preferred.
- Excellent verbal and written communication skills.
- Strong customer service and relationship-building abilities.
- Exceptional organizational skills and attention to detail.
- Ability to prioritize competing demands and manage multiple tasks simultaneously.
- Demonstrated ability to work independently, stay on task, and take initiative without constant supervision.
- Experience in healthcare, therapy, education, or a related service-based industry is considered an asset.
