ALE is seeking a dynamic and energetic Special Events Coordinator to lead the planning, organization, and execution of a diverse range of events that engage our community and build milestone memories. Responsibilities
- Collaborate with internal teams and external vendors to conceptualize and plan engaging events that align with organizational goals
- Coordinate all event logistics, including food & beverage selection/menu curation, entertainment, decor, and technical requirements
- Manage budgets effectively, ensuring cost control while maintaining high-quality standards
- Oversee event setup and breakdown, ensuring all elements are executed flawlessly and on schedule
- Provide exceptional guest services by greeting attendees, addressing inquiries, and ensuring a welcoming atmosphere
- Implement upselling strategies during events to enhance guest experience and increase revenue opportunities
- Develop detailed timelines and checklists to ensure smooth operations from start to finish
- Maintain clear communication with all stakeholders throughout the planning process and during event execution
Experience
- Proven experience in event planning or coordination within hospitality, restaurant, or hotel environments
- Experience in wedding execution and executing corporate functions is highly desirable
- Strong background in marketing strategies related to event promotion and guest engagement
- Excellent customer service skills with the ability to handle diverse guest needs professionally
- Demonstrated ability to manage multiple projects simultaneously with effective time management and organizational skills
- Experience in budgeting, negotiation, and vendor management to optimize resources
- Familiarity with hospitality industry standards and best practices for creating memorable guest experiences
- Prior involvement in upselling techniques within service-oriented settings is highly desirable
- Must be versed in virtual collaborative workspaces including all Google workplace platforms, basic design softwares (such as Canva & Vista print) and spreadsheets
Employment Structure
ALE is a seasonal business, located on the Amberwood Golf Course. A vibrant community with a diverse and wide-ranging clientele. While we strive to continue to grow the business and provide meaningful, year-round & career employment for our employees, the hustle and bustle of the events is most prominent April through December.
Spring-Fall:
Full-time commitment is mandatory, collaborating with ALE's General Manager, Executive Chef & Operations Manager to ensure daily event operations are executed flawlessly, including logistics of menu submissions, events set up/take down (room flips and furniture moving) and team morale.
Mandatory work schedule during event weekends. When working with a client towards a milestone event, team members are expected to be present for that client on their big day.
Winter:
Off-Season commitment ensures 4 day/week work scheduling, with the flexibility to take weekends off, with the exception of weekend dates with weddings booked. When client work is lessened, community engagement tasks will be assigned, helping ALE to grow new business and develop new event packaging and vendor opportunities.
