Exact provides drafting, detailing, 3D laser scanning and connection engineering services with its head office located in Victoria, BC. Exact also has six supporting offices located in Port Alberni BC, Surrey BC, Burnaby BC, Edmonton AB, Calgary AB and Montreal QC. Exact uses innovative Trimble software, primarily Tekla structures software and continually devotes significant resources to improvements in automation and efficiency.
Summary
The Accounting Administrative Assistant works closely with Senior Management and Administrative teams to promote and maintain timely and accurate processes and systems. The core functions of this role involve processing Accounts Payable, collections of receivables, general office admin functions as well as other ad hoc reporting as required.
This position is the first point of contact for most incoming departmental inquires and therefore excellent oral and written communication skills are an asset. This role does not have work from home opportunities.
Job Duties
- Receive, reconcile, verify, and record vendor invoices while managing the accounts payable inbox
- Manage the accounts receivable inbox to resolve invoice disputes as well as work to collect overdue receivables
- Assist with month-end closing activities
- Maintain and organize office records, files, and documents
- Data verification in support of the payroll process
- Generate and distribute reports
- Project data entry and follow up
- Scheduling meetings, overseeing office supply inventory and other administrative duties related to the department
- Ad hoc accounting projects as required
Qualifications & Skills
- Certificate, Diploma or degree in a business or finance related discipline preferred
- 3 years of office experience, work experience in accounts payable and accounts receivable functions considered an asset
- Strong computer literacy and direct experience with Microsoft Office applications
- Experience with QuickBooks online would be considered an asset
- Flexibility and adaptability to competing deadlines

Pay: $45,000.00-$55,000.00 per year
