The Role
We are looking for an Operations & People Coordinator who is equally comfortable sending a polished client-facing email, coordinating a hiring process from job post to first day, and keeping a spreadsheet of timesheets spotless. You will work directly alongside our two founders — supporting them operationally, keeping the team organized, and making sure nothing falls through the cracks.
This is not a passive administrative role. We need someone who takes ownership, spots problems before they become fires, and thrives in an environment where no two days look the same. This is a fully in-office role based at our Vancouver location — we believe the best support happens when you are present, visible, and part of the day-to-day energy of the team.
What You’ll Do
People & Recruitment
- Own the full recruitment cycle: posting jobs, screening applicants, coordinating interviews, and managing the candidate experience from first contact to offer letter.
- Support the onboarding of new team members, ensuring Day 1 is seamless and everything is ready before they walk in.
- Manage time-off requests, track team availability, and maintain accurate timesheets across the team.
- Review and approve hours logged by technicians, ensuring accuracy before payroll processing.
Executive & Leadership Support:
- Manage and respond to emails on behalf of both founders, filtering, prioritizing, and drafting replies that reflect our tone and values.
- Serve as the right hand to our business partner — handling the day-to-day items that need attention so leadership can stay focused on the big picture.
- Organize internal meetings and team events: scheduling, logistics, agendas, and follow-ups.
- Coordinate travel arrangements for team members when required.
Operations & Finance
- Organize and improve internal workflows and processes, documenting them clearly so the team can operate consistently.
- Handle accounts payable (AP) invoices — tracking, processing, and following up as needed.
- Grow into accounts receivable (AR) responsibilities over time, as you build familiarity with our systems and clients.
You Are Good At
- Staying calm and organized when a dozen things need your attention at once.
- Communicating clearly and professionally in writing — you know how to strike the right tone.
- Taking initiative. You do not wait to be told. You see what needs doing and you do it.
- Being discreet. You will handle sensitive information about hiring, compensation, and team dynamics.
- Learning new tools quickly — we work in Datto Autotask, Microsoft 365, IT Glue, and Push Operations, among others.
- Balancing the needs of multiple people without dropping a single ball.
Requirements & Qualifications
- 2+ years of experience in an administrative, operations, HR, or coordinator role
- Excellent written and verbal communication skills in English
- Experience with recruitment — you have run a hiring process before, not just supported one
- Proficiency with Microsoft 365 (Outlook, Teams, Excel, Word)
- Highly organized with sharp attention to detail
- Entitled to work in Canada
- Valid driver’s licence and comfortable driving — occasional errands or team support may require it
- Experience with bookkeeping, AP/AR, or payroll software is a strong asset.
- Familiarity with IT or MSP environments is a bonus, but not required — we will teach you our world
Compensation
$25 – $32 per hour, commensurate with experience.
We pay by the hour because we believe you should be compensated for every bit of effort you put in. We also believe in a healthy work-life balance, and that starts with being fair about how we pay.
