Job Summary
We are seeking a detail-oriented and organized Real Estate Team Administrator/Executive Assistant to join our team. You must have at least 3 years experience working for a real estate team in Ontario. You will be responsible for overseeing daily office operations and providing administrative support to ensure efficient operation of the office and team.
Main Responsibilities
Managing Daily Team Operations:
- Overseeing all transactions ensuring team policies and procedures are being adhered too
- Running weekly team meetings assisting in preparation for meeting and ensuring agenda is up to date
- Running quarterly team meetings
- Overseeing team financial record keeping and team P/L
- Answering and responding to inbound inquiries (calls, email and correspondence)
- Managing virtual assistant
- Updating Operations Manual and Systems/Procedures as they change
- Working in Team Database to ensure clients records and files are up to date
- Ordering office supplies and promotional materials for the team and client events
- Paying Invoices
Skills
- Proficient in Google workspace and Google Sheets
- Strong organizational skills with immense attention to detail
- Self starter that can work independently
- Excellent note taking and administrative skills
- Ability to manage multiple tasks while meeting deadlines
- Excellent time management skills
Duties will include:
- Preparing Comparative Market Analysis (CMA’s)
- Broker Loading Listings
- Working Through Online Checklists
- Ensuring Lead Agent’s calendar is accurate and up-to-the-minute
- Maintaining and updating our database
- Managing Inventory
- Coordination of Client Events, client gifts, and client touches
- Overseeing staging and photography
- Property walk-throughs
- Coordinating with vendors and suppliers
- Managing Social Media Accounts
Starting salary can range from $55,000 and could be up to $65,000 (or more) depending on experience. We are looking for someone who is very, very organized, and can handle different tasks handed to them at a moment’s notice. Successful applicant will also have pleasant telephone manner, and be well-versed in Webforms, Authentisign, and MLS back-end systems (like TRREB, Itso, Matrix or REALM). Photoshop/Publisher and Adobe PDF are assets but not mandatory. Social media or any marketing experience with Canva or similar (to help create posts) will be a definite asset, as well. There may be some city travel involved, but mileage will be compensated for. Thus, you will need your own car. Our office is located in Mississauga.
