Insurance Administrative Assistant
Ruban Insurance is currently seeking a full-time Insurance Administrative Assistan to join our team to assist with receiving and responding to incoming correspondence, scheduling, information gathering, and other related job functions.
Summary
Provides direct administrative-clerical assistance to assigned account executives. Provides support in an office environment with a broad variety of functions, while prioritizing and organizing tasks. Builds and fosters strong relationships with insurers, clients, and office staff.
Requirements
- High School Diploma, G.E.D. or equivalent
- 2 to 4 years of related work experience
- FOI Certificate (Fundamentals of Insurance) or CAIB I Certificate (Canadian Accredited Insurance Broker)

Primary Responsibilities but not limited to:
- Greets and directs all in-office visitors and in-coming calls in a friendly courteous manner.
- Ensures incoming and outgoing correspondence is distributed accordingly and in a timely manner, including mail/courier pick-up and drop off.
- Answers general inquiries with informed and satisfactory responses.
- Prepares meeting materials as requested.
- Manages digital and paper filing systems for all client files, ensuring accuracy, security, and confidentiality.
- Receives and maintains an inventory of required office supplies
- Facilitates Office Orders and Supplies as needed.
- Collaborates with team members to organize logistics for special projects and events.
- Uploads of new business process renewals and endorsements on insurance company’s portals accurately.
- Follows up with clients regarding outstanding invoices, or necessary documentation required for a file.
- Takes customers payments and submits proof of payment as required
- Other miscellaneous duties and special projects as required.
