We have a modern clinic space with private treatment rooms, gym space, and up-to-date equipments to provide treatment for excellent outcomes. We have a varied caseload including Private, ICBC, MSP, and WSBC funded patients. We provide direct billing to third-party insurers. Our mission is to provide the best customer service to our clientele by truly making a difference in their lives with the treatment approaches we choose.
Exceptional service by our administration staff is an important factor in the success of our company so we are looking for the perfect candidate to join our team.
We are looking for a dependable, organized individual who has exceptional customer service and leadership skills. Front desk or reception experience is preferred. Experience with Jane app is preferred but not mandatory.
Responsibilities and duties include but are not limited to:
- Greeting patients with a friendly and positive attitude
- Answer telephone calls, greet patients and visitors upon arrival, and provide excellent customer service for all questions or concerns
- Scheduling appointments for patients in person or on the phone
- Collecting payments from patients/billing insurance benefits
- Track coverage for all funding streams to ensure approval
- Complete data entry and billing
- Maintaining clinic standards of cleanliness and organization
- Submitting payments through third-party providers
- Creating and maintaining files and records.
- Coordinate Referrals for Worksafe, LTD and ICBC clients
- Communication with ICBC and WCB regarding patient claims
- Coordinate a detailed and accurate intake of information on the patient's first visit to the clinic and throughout their treatment plan
- Assist patients with completing paperwork at the clinic to avoid errors and inaccurate information
- Coordinate scheduling of patient appointments and maintain the patient’s medical record
- Coordinate courier packages (in or outgoing) and process incoming and outgoing email, mail and faxes
- Provide administrative support to the Clinic Director
Qualifications & Core Competencies
- High School Diploma, G.E.D. or equivalent
- Excellent customer service skills and telephone etiquette
- High degree of organizational skills and ability to prioritize and multi-task
- Excellent communication (verbal/written) and interpersonal skills
- Strong computer and data entry skills
- Flexible and adaptable to change
- Experience in a Physiotherapy clinic an asset
- Ability to work on a flexible schedule
- Independent transportation is essential for this role

Part-time hours: 20-35 per week
Salary: $20-$25/hour
