One (1) Temporary Position Available until March 4, 2022 With Possibility of extension and additional temporary or permanent positions
Reporting to the Manager Design and Space Management, the Facilities Project Coordinator works independently with minimal supervision, is client service focused and responsible for providing on-site support to ensure Facilities service requests and facilities projects are implemented to meet Ottawa Police Service (OPS) operational requirements. • Coordinate and implement projects on-site (facilities projects and service requests) including client consultations, project coordination meetings, concept design recommendations and redesigns, specification writing and review for procurement, high level budgeting, scheduling, prioritizing, monitoring the project phases, on-site inspections including determining deficiencies, coordination of required contractor services and general contractors, and subsequent tenant fit up including move management. • Implement service requests including client consultations, furniture repairs, space planning, and furniture reconfiguration for projects under $5,000 including all Health & Safety and ergonomic related requests. • Conduct ergonomic assessments as required to support service centre requests and project work. • Ensure that procurement and payments are processed as outlined in the Ottawa Police Finance and Administration Procedures Manual. • Obtain quotes and review/approve invoices as outlined in Facilities Financial Process Manual as required for the purpose of procurement for all service request and project work. • Manage facilities projects including client consultations, design layouts, monitoring construction, deficiencies clean-up, tenant fit-up, and move management; implementing space retrofits over $5,000 including on-site supervision of complex installations and construction up to $1 Million. • Participate on Capital Project Team including client consultations, design layouts, monitoring construction, deficiencies clean-up, tenant fit-up, and move management; new facilities (start to finish), on-site supervision of complex installations and construction projects over $1 Million. • Planning move requirements through consultation with client groups, contractors and other stakeholders; coordinate and implement intersectional moves. • Liaise with internal and external stakeholders and service providers (Security, IT, Telecom, Operational sections, Product Suppliers, Cabling contractors, etc.). • Liaise with OPS dedicated City Operations & Maintenance staff to support building maintenance, repairs, and life cycle initiatives while ensuring minimal impact to OPS Operations. • Coordinate with Security Operations unit for physical infrastructure to support security requirements. • Maintain accurate and complete project documentation and records for assigned projects • Support AutoCAD / CAFM Administrator in maintenance/update of OPS corporate standard documents as changes are approved. • Support AutoCAD / CAFM Administrator in maintenance/update of OPS Facility floor plans as construction and furniture changes occur. • Maintain updated records for Corporate Finishes for all OPS facilities including updates to all facilities sample boards. • Write and review product specifications to place orders with suppliers, ensuring Finance Administration Procedures are adhered to.
Education and Experience
Minimum three (3) year College or University Degree in relevant field, preferably Interior Design or Architecture. Experience and formal training combined may substitute for stipulated education requirements. Two (2) to Three (3) years experience in interior design, space fit-up, facilities and / or real estate planning including project coordination.
