Location
Core Purpose
- Manage the deployment and coordination of Technicians and Engineers across multiple projects, ensuring compliance with client requirements, certification standards, and internal processes.
- Maintain accurate personnel records, coordinate travel arrangements, and ensure personnel are fully prepared and operationally ready for site deployment.
Key responsibilities and accountabilities:
- Coordinate the onboarding and mobilisation of Technicians and Engineers for project assignments, ensuring alignment with project requirements and timelines.
- Maintain accurate and up-to-date personnel records, including certification matrices and compliance documentation.
- Track personnel movements, assignments, and activity records to ensure accurate and timely reporting.
- Communicate regularly with project personnel to confirm availability, obtain required documentation, and resolve administrative queries.
- Monitor certification expiry dates and liaise with personnel to obtain updated documentation, ensuring ongoing compliance with HSE, IMCA, and client requirements.
- Support recruitment activities by screening CVs, coordinating interviews, and maintaining candidate pipelines.
- Liaise with the Finance department regarding payroll, expenses, and invoice-related queries for project personnel.
- Ensure all personnel data is stored accurately and securely in accordance with company procedures and GDPR requirements.
- Provide administrative support for training coordination, certification renewals, and competency tracking.
- Provide general administrative support to Project Coordinators and Project Managers as required.
QHSE Responsibilities
To have a general understanding of the areas of our QHSE Management System and OEG’s QHSE aims and objectives that are relevant to the role.
Comply with the requirements of OEG Energy Group Policies and the responsibilities within the wider QHSE Management System.

Skills and Experience:
- Demonstrable experience in project administration, coordination, or a related operational support role.
- Strong organisational skills, with the ability to manage multiple priorities effectively and deliver against tight deadlines.
- High attention to detail, with the ability to manage multiple administrative tasks accurately and efficiently.
- Proficient in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Experience with certification and compliance management systems is desirable.
- Familiarity with GWO or other industry-specific training standards is advantageous.
- Proactive, self-motivated, and able to work independently.
- Strong communication and interpersonal skills, with the ability to build effective working relationships.
- Able to maintain confidentiality and handle sensitive information with discretion and professionalism.
- A team player with a willingness to support other departments as required.
Qualifications:
- Minimum: GCSEs (or equivalent) in English and Mathematics.
- NVQ Level 3 or equivalent qualification in Business Administration, Project Management, or an engineering-related field.
- Full UK driving licence.
