The Richmond Academy of Dance is a thriving, creative company that has a strong complement of dancers and performing arts students. We offer year-round children's programs in various genres, Summer Intensives, an Adult Program, a Professional Division, and an International Training Program. Our dancers participate in local and international competitions, festivals and our annual performances.The Academy is located in north Richmond, 20 minutes from downtown Vancouver and steps from Aberdeen Station on the Canada Line, providing convenient access.
This full-time position offers a competitive salary, extended health benefits, and paid time off. Compensation will be commensurate with qualifications and experience.
Front-of-Office Administrator (Maternity Leave Coverage) 18-24 months.
Qualifications & Experience:
- Bachelor’s degree or a two-year diploma/certificate in administration, arts management, or a related discipline; equivalent relevant work experience will also be considered.
- Excellent verbal and written communication skills in English, with professional proficiency or fluency in Mandarin or Cantonese.
- Strong communication skills and a friendly, professional manner.
- Demonstrated ability to work effectively with children and creative individuals.
- Solid understanding of the dance world and studio operations, including competitions, examinations, performances, and various dance disciplines.
- Proficiency with the full Microsoft Office Suite, MailChimp, AKADA, and Canva; familiarity with social media platforms is an asset.
- Exceptional organizational skills, attention to detail, and the ability to stay focused in a lively, fast-paced environment with a large client base.
- Ability to manage a wide variety of tasks and balance long-term efforts with immediate priorities.
- Capable of working both independently and collaboratively as part of a team.
- Must be reliable, punctual, and able to commit to the full maternity-leave term.
Essential Responsibilities:
Front-of-Office & Client Service
- Maintain a welcoming, professional and warm atmosphere for students, families, and visitors. Provide front-desk assistance in English and Cantonese.
- Act as a communication bridge between students, families, faculty, administration and community partners.
- Support students and families throughout their Academy experience, involving leadership when needed to maintain a positive environment for all.
Daily Operations & Administration
- Manage front-desk operations, calls, emails, and visitor support.
- Coordinate daily studio activities and maintain accurate accounts and billing records.
- Handle registrations, tuition payments, schedules and client accounts.
- Prepare correspondence and maintain digital and manual filing systems.
- Order supplies, manage inventory and uphold office procedures.
Studio & Instructor Support
- Support instructors with studio coordination, attendance tracking, and communication.
- Assist with recital preparation, competitions, costume distribution, and event logistics.
- Help track and charge for costumes used in competitions and in-house performances throughout the year.
- Keep the lobby and front-office organized, and welcoming.
Financial & Registration Management
- Set up billing cycles, track accounts, issue invoices, and process payments (online, POS, cash, or cheque).
- Manage entries for festivals, competitions, and examinations.
- Complete administrative tasks related to registration, scheduling, assessments, special projects, and performances (internal and external).
Executive Support
- Provide administrative support to Academy Directors, including scheduling and confirming meetings.
Professional Skills & Expectations
- Strong organization, time-management and prioritization skills.
- Able to meet deadlines and stay focused in a lively environment.
- Work independently and collaboratively; manages stress effectively.
- Reliable, punctual and able to commit to a full maternity-leave term.
- Must be willing to work base hours during regular school year:
- o Mon–Wed: 12:30–6:30pmo Thurs: 12:30–7:30pmo Fri: 12:30–5:30pmo Sat: 8:30–4:00pmThree summer months operate on a Mon–Fri schedule; flexibility is essential
