About the Role
We are looking for a sharp, dependable Executive Assistant to support our leadership team and keep the day to day running smoothly. This is a role for someone who anticipates what is needed before being asked, handles sensitive information with discretion, and stays calm and organized when things move fast. You will be the person leadership trusts to manage their time, keep commitments on track, and make sure nothing falls through the cracks.
What You Will Do
- Manage executive calendars, schedule meetings, and protect leadership's time against competing priorities
- Coordinate travel, accommodations, and itineraries, including changes on short notice
- Screen and manage incoming calls, emails, and correspondence, and respond or route as needed
- Prepare and format documents, reports, presentations, and meeting materials
- Take notes in meetings, track action items, and follow up to keep things moving
- Act as the point of contact between leadership and internal teams, customers, and outside partners
- Track and submit expenses, and help keep invoicing and records organized
- Maintain orderly files and keep confidential information secure
- Help plan and coordinate meetings, events, and office logistics
- Take on additional tasks based on business and leadership needs
What We Are Looking For
- Proven experience as an Executive Assistant or in a senior administrative role supporting leadership
- Strong organization and time management, with a habit of staying ahead of deadlines
- Excellent written and verbal communication, with a professional and discreet manner
- Comfort with calendar tools, email, and Microsoft Office or Google Workspace
- Sound judgment and the ability to handle confidential information with care
- A proactive, resourceful approach and the confidence to make decisions on your own
- The ability to juggle several priorities at once in a fast moving setting
- Experience in energy, oilfield services, or a related industrial field is an asset
- Valid driver's license
Pay: $40,000.00-$70,000.00 per year
