Founded in 2003, In-Line Pigging Solutions Ltd. is a leading provider of In-Line Inspection (ILI) coordination services for pipeline operators throughout Canada and the USA. We are looking for an eager, self-starter to fill the position of Project/Office Administrator, based out of our Calgary and/or High River location.
Position Summary
The entry-level position of Project/Office Administrator is primarily responsible for assisting Project Managers, and the office staff in the successful planning, organizing and execution of field projects and daily office operational activities.
This position requires a person that can provide a variety of assistance including technical, administrative, and communication functions.
Reporting
This position will report to the Technology Development Manager; but will be supervised on day-to-day activities by a variety of managers.
Specific Duties
Duties and responsibilities include but are not limited to:
Office Administration
- Support the office staff with maintenance and upkeep of the Calgary office.
- Support all teams with data entry as needed.
- Greet visitors and ensure they are signed in properly.
- Administer the corporate phone system.
- Lead office replenishment, including stocking the staff kitchen and office supplies, to ensure smooth operations.
- Assist various managers with administrative tasks, as required.
Project Administration
- Assist in the preparation of projects by organizing project documents, folders, and creating documents as defined in the company project execution standard.
- Assist project execution by tracking approved project costs and receiving them in the company financial management software.
- Assist project close out by supporting the Project Management team to ensure invoice accuracy, and ensure that project deliverables are completed, appropriately filed, and sent to the client.
- Assist project managers in the set up of estimates by importing/exporting into the ERP system and reviewing for accuracy.
Health & Safety
- Promote safe work habits and respect for the environment, as well as aligning the performance of job duties with the Health & Safety expectations and standards of the business.
- Attend and participate in Company safety meetings.
Internal Projects
- Support various teams with the updating and improvement of Company processes and procedures related to project planning, organizing and execution.
Quality Management
- Ensure that all project documents and procedures are adhering to the Company’s quality management process.
- Report Quality Management and Quality Control metrics to supervisors and management as required.
Knowledge & Skill Requirements
This position requires a person who is hard-working and a positive attitude. The position demands that individuals have strong attention to detail and the ability to work on multiple projects during any given day. Excellent verbal and written communication skills are essential.
- Maximum 2 years of experience in an administrative support role. Project administration or coordination experience is also valuable.
- Experience in the pipeline/oil & gas industry is considered an asset.
- Strong interpersonal and communication skills; able to work collaboratively with co-workers and management in a team environment.
- An ability to maintain a high level of professionalism and confidentiality.
- A keen eye for detail, with proven organizational skills and a passion for delivering high quality work.
- Demonstrated ability to work in a busy environment, maintaining a positive and flexible attitude for shifting priorities.
- Organized with the ability to multi-task and take initiative.
- Able to work independently with little supervision.
- Reliable, dependable attendance and punctuality.
- Minimum of post-secondary education (diploma, certificate, or bachelor’s degree) in business administration or similar relevant field is required.
Technical Requirements
This position uses several software applications, as such, it would be considered an asset to have the below skills and knowledge:
- Familiarity with Microsoft 365 Suite of programs.
- Strong math skills to verify financial accuracy of invoices, receipts, and charges associated with field projects is critical skill to the role.
Hours & Working Conditions
Hours for this position are typically Monday to Friday, 8:00 am to 5:00 pm, but may be dictated by the specific project(s) you are working on. Duties and responsibilities will be carried out primarily in our Calgary office location (with the option to work out of our High River location).
