SWITCH is a student-run, community-based health clinic providing free healthcare services to vulnerable populations in Saskatoon, including individuals experiencing homelessness, poverty, and social marginalization. The clinic is staffed by student volunteers, professional mentors, and staff delivering client-centered care.
We are seeking an Executive Director to oversee clinic operations, provide leadership to staff and volunteers, manage finances and grants, and report to the Board of Directors.
Duties & Responsibilities
Leadership & Staff Management
- Oversee daily operations of the clinic.
- Supervise staff (currently two positions: Volunteer Coordinator and Program Coordinator).
- Conduct annual performance reviews for staff.
- Provide regular feedback and direction to staff.
- Serve as the primary liaison between staff and the Board of Directors.
Financial Management
- Prepare and submit monthly financial reports to the Board by the 7th of each month.
- Manage organizational budgets and track spending against budget.
- Process payroll accurately and on time.
- Oversee inventory management (e.g., t-shirts, supplies) and cash handling.
- Manage grants, including application, reporting, and compliance with funder terms.
- Work with the bookkeeper and support the annual audit process.
Communication & Reporting
- Submit a written portfolio report to the Board before each monthly board meeting.
- Attend all monthly board meetings and financial meetings. Provide advance notice (minimum 24 hours) for any absences.
- Respond to communications from the Board, staff, and volunteers during working hours (Monday-Friday, 10:00 AM – 6:00 PM).
- Represent SWITCH at community events and speaking engagements as required.
- Manage media relations and social media presence.
Program & Partnership Development
- Identify and pursue grant opportunities.
- Develop and implement programming aligned with SWITCH's mission.
- Build and maintain partnerships with community organizations.
- Attend SWITCH shifts during working hours (Monday and Wednesday evenings) to observe operations and engage with volunteers.
Accountability & Compliance
- Maintain organized records of organizational accounts, passwords, and key documents. Provide an updated inventory to the Board Chair annually.
- Comply with all Board policies, including the Executive Director Compliance Checklist.
- Disclose any material changes or potential risks to the organization to the Board.
- Adhere to scheduled working hours and use the standardized leave request form for any absences.
Qualifications
Required:
- Minimum 3 years of experience in management, non-profit administration, or a related field.
- Demonstrated experience in financial management, including budgeting, reporting, and grant management.
- Experience supervising staff and providing performance feedback.
- Excellent organizational skills and ability to work independently.
- Strong written and verbal communication skills.
- Ability to work with diverse populations, including individuals experiencing homelessness, poverty, and other vulnerabilities.
- Technological knowledge, including proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Microsoft Teams.
Assets:
- Experience in a community health or non-profit setting.
- Grant writing experience.
- Familiarity with the Saskatoon community and social service sector.
- Experience with QuickBooks.
Working Conditions & Expectations
- Schedule: Monday-Friday, 10:00 AM – 6:00 PM. Attendance at monthly board meetings and financial meetings is required.
- Attendance: Required at SWITCH shifts during working hours (Monday and Wednesday evenings) on a weekly basis.
- Communication: Must respond to work-related communications during working hours. Use of approved channels (Outlook email, Whatsapp text messages) is required.
- Accountability: The Executive Director is accountable to the Board of Directors and is expected to meet all reporting deadlines and performance expectations.
