We are currently seeking a permanent, full-time Payroll Administrator to join our Total Rewards team. Reporting directly to the Payroll Supervisor, the Payroll Administrator is responsible for the day-to-day verification and accurate processing of employee payroll, benefits, and pension contributions. This position doesn't just work behind the scenes; you are a vital point of contact for staff across the entire organization, helping to clarify deductions, coordinate enrollments, and resolve complex pay inquiries with care and empathy.
Working closely with internal partners in Finance and Employee Services, you will ensure our system data—specifically within Workday—remains pristine. From managing regular bi-weekly cycles to supporting vital year-end reporting and tax compliance, you will balance technical precision with a collaborative, human-centric approach to service delivery.
In this dynamic and high-impact role, you will support the full cycle of our payroll services with a focus on accuracy, compliance and exceptional employee service. You will:
Process and verify bi-weekly payroll for all City employees, ensuring accurate payments, statutory deductions, and payroll adjustments are completed accurately, efficiently, and in accordance with applicable requirements.
Prepare and submit annual payroll reporting requirements, including tax filings and year-end compliance activities, such as T4s, T4As and WCB annual returns.
Act as a knowledgeable and responsive resource for employees, providing clear guidance and support on payroll-related inquiries, concerns, and requests.
Collaborate with external partners, union representatives, and regulatory agencies, including the CRA, to support effective service delivery and maintain regulatory alignment.
Maintain accurate and confidential employee data within the HRIS system (Workday), completing regular audits to support data integrity, consistency, and compliance with plan requirements.
Support continuous improvement by identifying opportunities to streamline payroll workflows, strengthen process documentation, update policies, and enhance system tools.
Provide backup support for broader Total Rewards functions, including benefits, pension administration, reporting, audits, and employee training initiatives, as needed.
You are an analytical, organized, and approachable professional who understands that accuracy builds organizational trust. You thrive on precise details and bring:
A Certificate or Diploma in Business Administration, Accounting, Human Resources, or a related field.
A professional certification in payroll (PCP and/or PLP) from the National Payroll Institute.
A minimum of three (3) years of direct experience in full-cycle payroll processing, benefits administration, or dedicated payroll accounting within a corporate environment.
Strong working knowledge of provincial payroll regulations, tax laws, Alberta Employment Standards, and general benefits administration practices.
Proficiency with HRIS platforms and software, with direct experience navigating Workday is considered a significant asset.
Strong intermediate Microsoft Excel skills, with experience utilizing pivot tables and formulas like VLOOKUP to analyze data and resolve discrepancies.
Exceptional verbal and written communication skills, giving you the ability to explain complex deductions or pay frameworks clearly.
A high degree of independent judgment, problem-solving capabilities, and a strict commitment to maintaining total confidentiality regarding sensitive employee compensation data.
An established background working within a unionized or municipal environment, would be considered a significant asset.
