We are looking for an experienced, hands-on bookkeeper who can step into an established finance function, work independently, and maintain continuity during this temporary period. The successful candidate will also be comfortable supporting the transition to a new operating system and identifying opportunities to improve administrative and financial processes.
Position Function
Support the administrative team by performing bookkeeping, accounting, and financial recordkeeping duties. Maintain accurate financial records, process and verify transactions, reconcile accounts, prepare routine reports, and assist with related administrative functions in accordance with established policies, procedures, and applicable financial requirements.
Key Duties
- Maintain complete and accurate financial records using manual and computerized bookkeeping systems.
- Record, verify, batch, and post financial transactions such as accounts payable, accounts receivable, deposits, payments, journal entries, and other account adjustments.
- Prepare, review, and process invoices, purchase orders, cheque requests, expense claims, deposits, receipts, and other financial documents.
- Reconcile bank statements, ledgers, sub-ledgers, accounts, and supporting documentation; investigate discrepancies and refer unresolved matters as required.
- Maintain general ledgers, subsidiary ledgers, account records, vendor and customer information, and related financial files.
- Assist with preparing trial balances, financial statements, statistical reports, account summaries, and other routine accounting reports.
- Support payroll, tax remittance, benefits, WorkSafeBC, or other government reporting processes when required.
- Respond to inquiries from staff, vendors, customers, and external agencies related to accounts, payments, invoices, and financial records.
- Review documentation for completeness, accuracy, authorization, and compliance with established policies and procedures.
- Organize, file, retrieve, and maintain financial documentation in accordance with records management and retention requirements.
- Perform related duties where qualified.
Independence
The Senior Bookkeeper works independently within established procedures and deadlines, with overall direction provided by the owner. Unusual issues, significant discrepancies, or matters requiring business decisions are referred to the owner or designated staff.
Working Conditions
This is an office-based position involving extended periods of computer work and detailed financial review. The role requires accuracy, confidentiality, the ability to manage competing deadlines, and comfort working with sensitive financial information.
Key Skills and Abilities
- Demonstrated experience using QuickBooks Online bookkeeping practices, basic accounting principles, and financial recordkeeping requirements.
- Ability to accurately enter, verify, reconcile, and report financial information.
- Ability to use accounting software, spreadsheets, databases, and standard office applications, including Microsoft Excel.
- Ability to interpret and apply established policies, procedures, account codes, and documentation requirements.
- Strong attention to detail and ability to identify and resolve routine discrepancies.
- Sound numeracy, analytical, and problem-solving skills.
- Ability to organize work, manage competing priorities, and meet deadlines.
- Ability to communicate clearly and professionally with staff, vendors, customers, and external agencies.
- Ability to maintain confidentiality and handle sensitive financial information appropriately.
- Ability to work independently and contribute effectively within a team environment.
Qualifications
- Completion of a certificate, diploma, or recognized coursework in bookkeeping, accounting, finance, business administration, or a related field.
- 3 years related experience performing bookkeeping, accounts payable, accounts receivable, payroll support, financial reconciliation, or accounting support duties.
- An equivalent combination of education, training, and experience may be considered.
- Experience using accounting software and Microsoft Office applications, particularly Excel.
- Successful completion of satisfactory reference checks.
