We are seeking a motivated Project Coordinator & Estimator to join our team and support both pre‑construction and project delivery activities.
Position Overview
The Project Coordinator & Estimator plays a key role in supporting project planning, estimating, procurement, and coordination for commercial mechanical projects. This position is ideal for someone who is detail‑oriented, organized, and eager to grow within the mechanical contracting industry. You will work closely with project managers, field supervisors, subcontractors, and suppliers to ensure accurate estimating and smooth project execution.
Key Responsibilities
Estimating
- Prepare detailed mechanical estimates for plumbing, HVAC, and mechanical scopes.
- Review drawings, specifications, addenda, and tender documents to identify scope requirements.
- Perform material takeoffs and develop accurate cost breakdowns.
- Request, review, and compare supplier and subcontractor quotations.
- Assist in preparing bid submissions, proposals, and clarifications.
- Maintain estimating databases, pricing, and historical cost information.
Project Coordination
- Support project managers with scheduling, procurement, and documentation.
- Prepare purchase orders, submittals, RFIs, and change order requests.
- Track project progress, material deliveries, and subcontractor coordination.
- Assist with jobsite communication and documentation between office and field teams.
- Maintain organized project files, logs, and correspondence.
- Support closeout documentation, O&M manuals, and warranty packages.
Communication & Administration
- Liaise with consultants, suppliers, subcontractors, and internal teams.
- Ensure timely and professional communication throughout all project phases.
- Assist with meeting minutes, project updates, and internal reporting.
Qualifications
- Experience in mechanical contracting, construction coordination, or estimating is an asset.
- Bachelor’s degree in Engineering, Construction Management or a related field is an asset.
- Strong understanding of plumbing, HVAC, and mechanical systems (or willingness to learn).
- Proficiency with Microsoft Office (Excel, Word, Outlook).
- Experience with estimating software is an asset but not required.
- Strong organizational skills and attention to detail.
- Ability to read and interpret construction drawings and specifications.
- Excellent communication and time‑management abilities.
- Valid driver’s license; occasional jobsite visits required.
