As the Live-In Building Representative at Ovation Rentals, you will administer the day-to-day operations of the residential community, while maintaining the upkeep and integrity of the property. While ensuring adherence to internal process and protocols, the Building Representative will also provide excellent customer service to all residents, prospects and visitors. The Building Representative will be provided an apartment to reside in the building.
Primary Responsibilities
Customer Service & Resident Relations
- Primary Point of Contact: Serve as the main point of contact for residents, responding promptly to inquiries, concerns, and complaints, ensuring customer satisfaction.
- Contractor/Vendor Liaison: Act as the on-site liaison for contractors and vendors, maintaining positive relations and ensuring timely access to the property for required services.
- Work Order Management: Maintain accurate records of work orders, ensuring timely completion of tasks, and escalate any unresolved issues to the Property Manager.
- After-Hours Support: Be available for after-hours emergencies as per the building schedule, providing immediate support when needed.
- Resident Satisfaction: Ensure all resident issues are addressed professionally, escalating exceptional service complaints or unresolved concerns to management.
- Parking & Heating: Address resident parking and heating concerns following internal protocols.
- Leasing and Administration: Assist Leasing Representatives with the leasing process when applicable, including answering leasing inquiries, conducting in-suite showings, completing lease applications, and ensuring all leases adhere to internal policies.
- Legal Documentation: Deliver legal documentation related to rent collection and landlord-resident disputes as instructed by the Tenant Relations team.
Building Maintenance & Operations
- General Operations: Oversee daily building operations, including general maintenance tasks, fire life safety requirements, and ensuring the cleanliness of both interior and exterior common areas.
- Suite Preparation: Ensure apartments are thoroughly cleaned and prepared for new residents, assisting with the move-in and move-out process, including in-suite inspections.
- Work Orders & Repairs: Monitor and ensure the timely completion of work orders, addressing general property repairs such as minor plumbing and electrical maintenance.
- Systems Monitoring: Conduct daily inspections of building systems (HVAC, electrical, mechanical, security), troubleshooting and addressing issues as needed. Coordinate with service contractors for specialized tasks.
- Waste Management: Maintain cleanliness and functionality of garbage chutes, compactor, and exterior waste disposal areas.
- Maintenance Tasks: Perform a variety of electrical and plumbing repairs, including replacing smoke detectors, light fixtures, faucets, and minor plumbing issues like leaks and blockages.
- Janitorial Duties: Ensure cleanliness in common areas, including elevators, lobby, hallways, offices, and amenity spaces.
- Fire Safety & Compliance: Maintain fire safety and winter safety logs, ensuring compliance with internal policies and procedures. Participate in safety inspections.
- Building Inspections: Assist with monthly building inspections, including monitoring the condition of equipment, systems, and common areas.
- Seasonal Maintenance: Perform seasonal duties like gardening, snow removal, and salting. Adapt tasks based on the building's specific needs and climate.
- Move-In/Move-Out Assistance: Coordinate and assist with the move-in and move-out process, including scheduling elevator use and conducting in-suite inspections.
Emergency Preparedness & Safety
- Fire Safety Plan: Be well-versed in the property’s fire safety plan, ensuring compliance and readiness in the event of an emergency.
- Safety & Security: Maintain a high level of awareness regarding the safety and security of residents, ensuring swift responses to emergencies as per internal procedures.
- Regulatory Compliance: Ensure all building systems are compliant with relevant regulations, including elevator safety and TSSA requirements.
- After-Hours Availability: Be available for after-hours emergency support per the Position Schedule, addressing immediate issues and escalating matters to management as necessary.
Pay: $35,000.00-$45,000.00 per year
