Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. This role is essential in ensuring the smooth operation of our office functions, providing excellent customer service, and supporting administrative processes. The ideal candidate will have strong computer skills, experience with office management tools, and a professional demeanor to handle front desk responsibilities efficiently. Prior experience in medical or dental offices is a plus, along with proficiency in QuickBooks, Microsoft Office, and Google Workspace.
Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office and other relevant software
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Handle scheduling, appointment setting, and calendar management for staff and clients
- Support bookkeeping activities using QuickBooks and assist with basic bookkeeping tasks
- Provide customer support by addressing inquiries via phone or email and offering exceptional service
- Assist with administrative tasks such as proofreading documents, preparing reports, and managing correspondence
- Support medical or dental office functions including patient check-in/out, insurance verification, and record keeping (if applicable)
- Ensure office supplies are stocked and manage inventory as needed
- Maintain a professional appearance at the front desk area and uphold company policies
Qualifications
- Proven experience in office administration or clerical roles; prior medical or dental office experience is highly desirable
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Experience with data entry, filing systems, proofreading, and document management
- Ability to handle multi-line phone systems efficiently and courteously
- Strong organizational skills with attention to detail in all tasks
- Previous experience in bookkeeping or financial record keeping is preferred
- Ability to work independently while collaborating effectively with team members
- High school diploma or equivalent required; additional certification in administrative or medical/dental office management is a plus
Pay: $34.62-$35.62 per hour
