Rosewood Hotel Georgia is looking for an Executive Assistant.
As an Executive Assistant you will be working in the fast-paced, dynamic environment of Rosewood Hotel Georgia Executive Office, the Executive Assistant, communications will provide a wide range of administrative support to the Managing Director. This position requires a professional, experienced, and productive self-starter capable of working without supervision. The position also requires, when needed, additional working hours to support MD’s calendar of activities. The duties and responsibilities require a candidate that is flexible, co-operative, receptive to challenge, prepared to “pitch-in” as necessary, and above all has a positive and professional attitude. The candidate must be an effective communicator and well organized; a very detail oriented multi-tasker who is able to balance competing priorities and deadlines.
Assist with managing daily calendars for Managing Director.
Schedule meetings, webinars, and conference calls for positions above. Arrange for technical requirements, and other set up as needed.
Assist in dissemination of relevant communications.
Maintain accuracy of all relevant lists, including contacts, distribution, and other material such as organizational charts and Rosewood global calendar.
Type, photocopy and distribute correspondence and other material.
Open mail and redirect where necessary. Receive, distribute, and send couriers.
Review all incoming correspondence and prioritize items, acting upon routine matters without supervision.
Answer telephones redirect as necessary and handle routine matters.
Assist with management of Press Releases, forwarding and responding to requests as appropriate.
Manage and co-ordinate both on-site and off-site team meetings.
Assemble agenda items and prepare draft agendas for meetings. Take minutes and distribute accordingly.
Create and maintain filing systems. Archive old files and maintain up-to-date records of archived material. Arrange for retrieval from storage, as necessary.
Order and maintain office supplies and other items as required.
Encourage team spirit through birthday and other celebrations within the team.
Coordinate business related travel. Prepare itineraries, secure airline reservations, hotel accommodation, ground transportation, etc.
Special Projects, Work with the MD to create and format various presentations.
Provide assistance for other special projects as required, including conference and event planning.
Other duties as required.
Minimum two to three years administrative experience in a similar role.
Bachelor’s Degree or an equivalent combination of progressive work-related experience.
Excellent communication skills verbally articulate with strong written composition for business and personal communications.
Good planning and organizational skills, Strong budget management skills.
Very detail oriented, Technical Skills and Knowledge
Excellent skills in Microsoft Office – Word and PowerPoint, Proficient in Excel
Ability to work independently, take initiative, use sound judgement, and be proactive in taking on new tasks.
Ability to prioritize, work well under pressure and manage multiple tasks within time constraints.
Agile in resolving problems, dealing with unexpected issues, and diligent in following tasks through to completion.
Integrity and discretion in dealing with confidential information.
Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
