We are currently seeking a Leasing and Property Administrator to join our team. The Leasing Administrator works under the direction of the Senior Property Manager. The Leasing Administrator is responsible for the leasing administration of a portfolio of properties for our clients.
The Leasing and Property Administrator is responsible for managing both leasing activities and overall property administration. This role includes coordinating lease applications, preparing lease agreements, maintaining tenant records, handling tenant relations, and providing comprehensive administrative support for property operations. The ideal candidate will be detail-oriented, highly organized, and possess excellent communication skills, with a strong ability to multitask in a fast-paced environment.
Key Responsibilities:
- Lease Administration:
- Prepare and process lease applications and terminations.
- Complete credit and background check on lease applications.
- Draft and execute lease agreements, ensuring compliance with company policies and legal requirements.
- Maintain accurate and up-to-date tenant records, including lease agreements, amendments, and correspondence.
- Collect and maintain data on vacancy management and leasing applications for large residential portfolio
- Property Administration:
- Oversee day-to-day property management operations, ensuring properties are well-maintained and meet tenant needs.
- Coordinate maintenance requests, work orders, and ensure timely resolution of tenant issues.
- Assist with property inspections and ensure compliance with health and safety regulations.
- Tenant Relations:
- Serve as the primary point of contact for prospective tenants, conducting property tours and providing detailed information about available units.
- Address tenant inquiries and concerns promptly and professionally.
- Coordinate move-ins and move-outs, ensuring all required documentation is completed and keys are provided.
- Marketing and Leasing:
- Develop and implement marketing strategies to attract prospective tenants.
- Advertise available properties through various channels, including online listings, social media, and local advertising.
- Schedule and conduct property showings for prospective tenants.
- Financial Responsibilities:
- Collect and process rent payments, security deposits, and other fees.
- Assist with the preparation of monthly financial reports and budgets.
- Ensure timely and accurate invoicing and follow up on outstanding payments.
- Compliance and Reporting:
- Ensure compliance with fair housing laws and other relevant regulations.
- Prepare and submit regular reports on leasing activity, occupancy rates, and market trends.
- Maintain accurate records of lease transactions and tenant communications.
- Administrative Support:
- Provide comprehensive administrative support to the property management team.
- Assist with the organization and management of property files and documents.
- Coordinate and manage vendor relationships and service contracts.
Qualifications:
- Education and Experience:
- High school diploma or equivalent required; Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
- Minimum of 2-3 years of experience in property management, leasing, or real estate administration.
- Skills and Abilities:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in property management software (e.g., Yardi, AppFolio) and Microsoft Office Suite.
- Ability to handle sensitive and confidential information with discretion.
- Customer service-oriented with the ability to build and maintain positive relationships with tenants and team members.
- Certifications:
- Certified Apartment Leasing Professional (CALP) or similar certification is a plus.
Working Conditions:
- Primarily office-based with occasional travel to property sites for showings and inspections.
- Ability to work flexible hours, including weekends and evenings, as needed.
