We are currently seeking an organized, proactive, and detail-oriented Project Coordinator to join our team. Working closely with the Project Manager, you will play a key role in supporting the successful planning, coordination, execution, and completion of commercial construction projects from start to finish. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and can confidently manage multiple priorities while maintaining strong communication with both clients and internal teams.
What You Will Be Responsible For Project Planning & Coordination • Assist in developing detailed project plans, schedules, budgets, and resource allocation • Coordinate project activities and help ensure timelines and deliverables are met • Support procurement of materials, equipment, and subcontracted services • Track project progress, identify risks or delays, and escalate issues when needed • Assist with scheduling and coordination of internal teams, vendors, and subcontractors Client & Stakeholder Communication • Support communication between clients, Project Managers, site teams, and vendors • Help ensure client expectations and project requirements are clearly communicated and met • Participate in project meetings and provide follow-up documentation and action items • Maintain strong working relationships with both internal and external stakeholders Documentation & Reporting • Prepare and maintain project documentation including contracts, schedules, change orders, reports, and project files • Monitor project expenditures, budgets, and tracking tools • Assist in preparing project status updates and progress reports • Ensure documentation is accurate, organized, and up to date Risk Management & Quality Support • Support quality assurance and project compliance processes • Help identify project risks, deficiencies, or operational challenges • Ensure projects are completed in accordance with company standards, safety requirements, and client expectations Qualifications • Post-secondary education in Construction Management, Engineering, or a related field • 3–5 years of experience as a Project Coordinator within the construction industry (required) • Strong understanding of construction project workflows from project start-up through closeout • Experience with scheduling, budgeting, procurement, and project coordination • Proficiency in Microsoft Office Suite and MS Project (required) • Excellent organizational, time management, and multitasking abilities • Strong verbal and written communication skills • Self-motivated with the ability to work both independently and collaboratively • Ability to manage multiple projects and priorities in a fast-paced environment Why Join MeadowBrook? • Opportunity to work on a variety of commercial construction projects across the GTA • Collaborative and supportive team environment • Long-term career growth and development opportunities • Stable, full-time position with an established and growing company • Work closely with experienced Project Managers and leadership teams If you are looking to grow your career with a company that values accountability, teamwork, and operational excellence, we’d love to hear from you.
