BASIC FUNCTIONS
The Operations Assistant provides administrative, operational, and accounting support to ensure the efficient execution of daily business activities. The role works closely with the Operations Manager and Accounting Technician and serves as a key liaison between operations, accounting, administration, and field personnel.
POSITION REQUIREMENTS
- Minimum 3 years of experience in operations, administration, or project support.
- Post-secondary education in business administration, operations, accounting, or equivalent experience preferred.
- Accounting background or accounting education considered a strong asset.
- Advanced proficiency in Microsoft Office software (Excel, Word, Outlook, Teams)
- Familiarity with accounting software and business management systems.
- Strong data entry, data verification, and document control skills.
- Exceptional organizational, communication, and multitasking abilities.
REPORTING RELATIONSHIPS
Reports directly to the Operations Manager and works closely with the Accounting Technician on daily operational and accounting activities.
AUTHORITY
Has the authority to execute all responsibilities and duties related to the position and coordinate administrative and operational activities as directed by management.
RESPONSIBILITIES - TOP FIVE
- Support the Operations Manager in daily operational coordination and reporting.
- Maintain accurate operational, project, and financial documentation.
- Ensure data entered into company systems is accurate and verified.
- Assist the Accounting Technician with accounting and invoicing activities.
- Provide administrative support while maintaining effective communication across departments.
ADDITIONAL RESPONSIBILITIES
- Prepare and maintain project files, binders, reports, and spreadsheets.
- Coordinate meetings, schedules, and operational documentation.
- Assist with invoicing, expense tracking, and document verification.
- Maintain electronic and physical filing systems.
- Support special projects and continuous improvement initiatives.
DUTIES
- Perform accurate data entry and verification of operational and accounting records.
- Generate reports and spreadsheets for management review.
- Assist with accounts payable and accounts receivable administration.
- Track project documentation and maintain document control systems.
- Prepare correspondence, reports, presentations, and meeting materials.
- Maintain vendor, customer, and employee records as required.
- Provide support to field staff and internal departments.
- Other duties as required.

Pay: $25.00-$30.00 per hour
Expected hours: 40.0 per week
