Implant Genius is a growing dental technology company specializing in digital dentistry, implant prosthetics, denture design, and full-arch treatment workflows. We work closely with dentists, prosthodontists, dental laboratories, and clinical teams across Canada and the United States.
We are looking for a highly organized and detail-oriented Dental Administrative Assistant / Junior Lab Technician to support our clinical, administrative, financial, and laboratory operations.
This is a hands-on role combining dental administration, case coordination, basic financial administration, customer communication, shipping, quality assurance, and junior laboratory support.
Key Responsibilities
Dental Case Management & Clinical Support
- Receive and review incoming dental cases before they are released to the laboratory for processing.
- Verify that all required documents, prescriptions, intraoral scans, STL files, photographs, treatment information, and doctor instructions are complete and accurate.
- Identify missing or inconsistent information and communicate with dental offices to obtain clarification.
- Understand and correctly use dental terminology, tooth numbering systems, arches, quadrants, implants, dentures, crowns, bridges, and full-arch/All-on-X terminology.
- Communicate with dentists, prosthodontists, dental offices, designers, and technicians regarding case requirements, status, timelines, and outstanding information.
- Track cases throughout production and ensure deadlines and required follow-ups are completed.
- Maintain accurate case records within company systems.
Quality Assurance & Laboratory Support
- Perform initial case-preparation and documentation checks before cases enter production.
- Assist with case organization, digital file preparation, photographs, scans, STL files, and supporting records.
- Conduct final quality assurance checks before products are shipped, including verification of:
- Patient and doctor information
- Tooth numbers and case specifications
- Product type and requested restoration
- Required components and accessories
- Documentation and labeling
- Packaging and overall product presentation
- Escalate discrepancies or quality concerns to senior technicians or management before shipment.
- Assist dental technicians and production teams with basic laboratory and workflow-related tasks.
- Learn and follow Implant Genius digital dental workflows and internal quality-control procedures.
Financial Administration & Client Billing
- Prepare and issue client invoices.
- Process and record client charges and payments.
- Monitor outstanding invoices and accounts receivable.
- Prepare and review client statements.
- Follow up professionally regarding outstanding balances when required.
- Verify pricing, case charges, shipping charges, credits, and other account information.
- Maintain accurate financial and billing records.
- Assist management with basic financial monitoring and reporting.
- Maintain Excel spreadsheets related to invoices, payments, production, accounts, and other operational data.
- Coordinate with accounting/bookkeeping when necessary to resolve discrepancies.
Shipping & Logistics
- Prepare completed cases for shipment.
- Create shipping labels and required documentation.
- Coordinate courier pickups and outgoing shipments.
- Track shipments and provide tracking information to clients.
- Monitor delayed, missing, or unsuccessful deliveries and follow up with couriers.
- Verify that the correct products, components, documentation, and destination information are included before shipment.
- Maintain shipping and delivery records.
Administrative & Customer Support
- Answer incoming calls, emails, and inquiries from doctors and dental offices professionally.
- Provide case-status updates and help resolve routine customer questions.
- Coordinate communication between doctors, designers, technicians, production, finance, and shipping.
- Maintain production schedules, customer records, case trackers, and internal reports.
- Prepare documents, reports, spreadsheets, statements, invoices, and correspondence.
- Organize digital and physical records.
- Assist management with daily administrative and operational tasks.
- Help monitor office and laboratory supplies and place orders when necessary.
Required Qualifications
- 1–2+ years of relevant experience in a dental office, dental laboratory, dental administration, healthcare administration, customer service, or similar environment preferred.
- Education or experience as a Dental Technician, Dental Assistant, Dental Administrator, Dental Receptionist, or related position is a strong asset.
- Good understanding of dental anatomy and tooth morphology.
- Knowledge of tooth numbering systems and dental terminology.
- Familiarity with dentures, crowns, bridges, implants, prosthetics, and full-arch dentistry.
- Strong computer skills, including:
- Microsoft Excel
- Microsoft Word
- Microsoft Outlook
- Google Workspace
- PDF/document management
- Data entry
- CRM or case-management systems
- Comfortable working with invoices, statements, payments, and basic financial records.
- Strong numerical accuracy and attention to detail.
- Excellent written and verbal English communication skills.
- Ability to communicate professionally with dentists and other healthcare professionals.
- Strong organizational and time-management skills.
- Ability to manage multiple cases and priorities simultaneously.
- Ability to carefully validate documents and identify missing or incorrect information.
- Strong sense of responsibility and commitment to quality.
- Ability to work independently while collaborating closely with a team.
Strong Assets
Experience with any of the following is considered an advantage:
- Dental CAD/CAM workflows
- Exocad or similar dental software
- Intraoral scans and STL files
- Dental implants and implant-supported restorations
- Denture or prosthetic design

Who We Are Looking For
We are looking for someone who is highly organized, reliable, detail-oriented, comfortable with numbers and technology, and interested in dentistry.
This person will play an important role in ensuring that every case entering Implant Genius is complete and accurate, that doctors receive timely communication, that invoices and accounts are properly maintained, and that completed products are carefully verified before leaving our facility.
The ideal candidate is comfortable switching between doctor communication, financial administration, case preparation, documentation, laboratory coordination, quality assurance, and shipping throughout the day.
