We are looking for a highly organized Sr. Executive Assistant to provide dedicated support to a senior executive in Vancouver, British Columbia. This Contract position requires someone who can manage a fast-paced schedule, adapt to early-morning priorities tied to another time zone, and handle sensitive executive matters with professionalism. The successful candidate will coordinate daily administrative activities, maintain strong communication across stakeholders, and help keep leadership operations running smoothly.
Responsibilities:
- Oversee a complex executive calendar, resolving scheduling conflicts and aligning meetings with shifting business priorities.
- Arrange domestic and international travel, including itineraries, accommodations, and related logistics.
- Prepare, format, and maintain correspondence, reports, presentation materials, and other executive documents.
- Coordinate internal and external meetings by booking attendees, confirming agendas, and ensuring required materials are ready in advance.
- Record key discussion points, action items, and follow-ups during meetings, then distribute clear and timely notes.
- Manage expense submissions and related administrative records with accuracy and attention to company procedures.
- Support planning and coordination for leadership meetings, team gatherings, and company events.
- Work closely with senior leaders and cross-functional partners to ensure prompt communication and execution of executive priorities.
- Proven experience supporting senior leaders or C-suite executives in an executive assistant capacity.
- Strong background in managing high-volume, detail-sensitive calendars in a dynamic environment.
- Demonstrated ability to coordinate travel arrangements and prepare complete itineraries.
- Experience handling expense reporting, meeting documentation, and executive-level correspondence.
- Excellent organizational skills with the ability to manage multiple deadlines and shifting priorities.
- Strong written and verbal communication skills, with a detail-oriented and discreet approach.
- Ability to work flexible hours, including early mornings, to support an executive operating in a different time zone.
