The Role
We are looking for a Project Coordinator to support the execution of hospitality furniture projects across all stages, from purchase order through delivery and installation. You will work alongside our project management team, helping keep projects organized, on schedule, and moving forward.
This is an ideal role for someone who is highly organized, detail-oriented, and eager to grow into a project management career within a company that builds real things for recognized brands. You will gain hands-on exposure to international manufacturing, client communication, and cross-functional coordination in a fast-paced environment. You will report to the Director of Projects.
Responsibilities
Project Support & Coordination
- Support project managers in tracking and managing active projects from purchase order through delivery and installation
- Develop and maintain internal project schedules for specific deliverables, aligning them with production timelines
- Monitor project milestones and flag risks or delays early to the project management team
- Maintain accurate and up-to-date project records, documentation, and reporting across all assigned projects
- Track and manage project invoices and material orders, ensuring adherence to project budgets
Communication & Stakeholder Management
- Communicate with clients to provide updates on project progress, explain processes, and address inquiries
- Coordinate across teams in multiple geographies, including direct communication with manufacturing partners in Asia
- Collaborate with design and purchasing teams to ensure projects are set up for success from the start
- Review production shop drawings and communicate relevant details to production teams
Process & Continuous Improvement
- Follow established project management standards, templates, and workflows
- Identify opportunities to improve coordination processes and contribute ideas to the project management team
- Maintain organized project files, asset libraries, and communication records
- Take initiative on tasks, seek opportunities to add value, and demonstrate a willingness to go above and beyond for the team and clients
Requirements
- 1+ years of experience in project management, project coordination, construction management, or a similar role
- Exceptional organizational skills with a high level of attention to detail
- Strong written and verbal communication skills in English
- Proficiency in project management platforms, Google Workspace, and Microsoft Office
- Ability to manage multiple tasks and deadlines in a fast-paced environment without sacrificing accuracy
- Self-motivated with a proactive, solutions-oriented mindset
Nice to Have
- Experience in hospitality, commercial furniture, FF&E, or a closely adjacent industry
- Familiarity with international manufacturing or supply chain coordination
- Experience reviewing technical or production drawings
- Interest in growing into a project management role

Job Type: Full-time
Pay: $50,000.00-$60,000.00 per year
