POSITION OVERVIEW
Reporting to the Director of Finance, the Accounting Manager is responsible for the day-to-day financial operations of Hallett Homes. This is a hands-on role with one direct report, requiring both technical accounting competence and the ability to manage competing priorities in a fast-moving, growth-stage company. The successful candidate will be a detail-oriented self-starter who takes ownership, brings structure to process, and communicates clearly with internal teams and external partners.
KEY RESPONSIBILITIES
Accounts Payable & Receivable
– Oversee AP and AR functions
– Ensure accuracy, approval and timeliness of all transactions
– Maintain vendor relationships and resolve discrepancies in a professional manner
Financial Reporting
– Manage the month-end close process, including reviewing sales entries for accuracy and recording cost of sales entries
– Support year-end close and annual financial statement preparation in coordination with external accountants
– Prepare corporate income tax instalment estimates and coordinate payment timing
Cash Management and Financing
– Perform bank reconciliations for all corporate accounts
– Monitor project cash positions and prepare required documentation for cash calls and loan draws
– Record loan repayments and ensure proper allocation in the general ledger
– Verify interest payments and reconcile against loan terms
Payroll & Compliance
– Oversee biweekly payroll processing and ensure accuracy across all employee records
– Approve statutory remittances in accordance with applicable deadlines and ensure the general ledger reconciles to amounts remitted
– Ensure compliance with applicable union agreements
Regulatory & Licensing
– Manage HCRA and Tarion licensing requirements including license applications and renewals, qualification for enrolment applications and unit enrolments
– Manage letters of credit and bonds, including tracking expiries, renewals, and releases
Other
– Administer corporate insurance programs, including vehicle, general liability and builders' risk
– Review statements of adjustments for accuracy prior to closing
– Administer and track corporate lease agreements
– Other duties as required
Team & Process
– Directly manage one Accounting Coordinator, providing day-to-day guidance and support
– Identify and implement process improvements to support the company's continued growth
QUALIFICATIONS
– CPA designation preferred; candidates actively working toward designation will be considered
– Minimum five years of progressive accounting experience
– Background in homebuilding, residential real estate, or construction strongly preferred
– Experience using Newstar considered an asset
– Advanced proficiency in Microsoft Excel, including the ability to build and maintain financial models, use complex formulas, and work with large data sets
– Strong organizational skills and the ability to manage multiple priorities independently
– Clear written and verbal communication skills; comfortable working closely with a small, high-performing team
