LEGAL ASSISTANT
SCOPE OF JOB:
This position provides administrative support to the agency In-house Legal Counsel and Child Protection Workers involved in Child Protection proceedings. There may also be some additional general office duties. This position is within the Bargaining Unit.
QUALIFICATIONS:
Applicants must have:
· Legal Assistant diploma or equivalent; or minimum two years of experience in a Legal Office Administration role;
· Demonstrated ability to be highly organized and have excellent time management skills;
· Excellent communication and interpersonal skills;
· Ability to perform effectively in a fast-paced work environment within established timelines;
· Demonstrated proficiency in computer skills (including Microsoft Windows and Office Suite) in a digitized environment;
· Sensitivity to and awareness of issues facing First Nations, Inuit and Métis (FNIM) people;
· Demonstrated knowledge of Anti-Oppressive Practice; and
· Possess a valid G driver’s licence and use of a personal vehicle.
DUTIES:
· Assemble the Cumulative Record and maintain the Court File;
· Maintain agency legal file;
· Draft Orders and provide draft Orders to counsel for approval and issue orders once approved;
· Mail copies of final Orders to parties and counsel as appropriate;
· Draft correspondence and Affidavits of Service when required;
· Issue Applications, Status Review Applications and Openness Applications and prepare materials for service;
· Maintain Tickle System for Status Review dates;
· Maintain the court database;
· Draft motions/affidavits as required;
· Arrange meetings with outside counsel and employees;
· Scan and upload all legal documents and correspondence;
· Field inquires on disclosure requests, prepare disclosure;
· Process documents for tribunal hearings;
· Respond to motions for disclosure requests on domestic matters;
· Trial preparation, briefs, summons, and correspond with witnesses around attendance at court;
· Preparation of Summary Judgment Motion materials, factums and briefs;
· Data Base for legal statistics;
· Draft Consents and Statements of Agreed Facts;
· File storage, including tracking files stored off site and ordering files as needed;
· Scheduling court dates and times with court office;
· Order office supplies and maintain printers and photocopier;
· Participate in agency staff meetings, team meetings, regular supervision, and agency and professional training; and
· Other duties as assigned.

· Share in the responsibility for promoting safe work practices at all times;

· Notify management of the existence known potential or actual safety hazards OHSA s. 28(1)(c)(d);
· Use protection equipment and protective devices as required OHSA s. 28(1)(b); and
· Report all workplace injuries/illnesses and incidents (including incidents of workplace violence and harassment).
WORK CONDITIONS:
· Organization and Office setting;
· Moderate degree of employee contact and legal counsel interactions;
· Multiple competing priorities with moderate levels of interruption;
· Moderate levels of mental concentration;
· Minor levels of disagreeable working conditions experienced on an occasional basis;
· Sitting, standing, walking and climbing stairs;
· Pushing, pulling and occasionally lifting medium weight items such as file boxes;
· Travel in community and to court will be required;
· Fine manual dexterity required to use digital devices and related tools; and
· Ability to work flexible working hours, outside of regular business hours and overtime as required.
REPORTS TO: Manager, Legal
SALARY: $46,234 to $56,702 (as per union salary grid Apr 2023)
