The Assistant Day Program Leader supports the Day Program Leader in the day-to-day coordination and smooth operation of the Day Program. This role ensures that programming is delivered safely, efficiently, and in alignment with the vision, mission, values, and policies of L’Arche Calgary.
The position provides operational support in areas such as scheduling, transportation coordination, medication monitoring, documentation, site organization, and resource management. The Assistant Day Program Leader also supports Program Assistants in delivering high-quality, person-centred supports to individuals with developmental disabilities.
This position reports directly to the Day Program Leader.

Support implementation of daily activity schedules and programming plans

Ensure supplies, materials, and equipment are prepared for daily activities

Delegate tasks and support Program Assistants as required

Maintain smooth and organized program flow throughout the day

Support implementation of Individual Support Plans (ISPs) and Behaviour Support Plans

Assist individuals in working toward personal goals and skill development
-
Maintain accurate documentation, progress notes, and records
-
Monitor and report changes in health, behaviour, or circumstances
-
Review and verify daily transportation (CTA) bookings
-
Coordinate same-day adjustments to schedules and transportation as needed
-
Communicate changes promptly to relevant team members

Monitor medication administration practices for compliance and safety

Ensure adherence to medication protocols and procedures

Report concerns to the Day Program Leader

Share daily updates, schedule changes, and urgent information with staff

Collaborate closely with the Day Program Leader for operational coordination

Manage delegated core member funds

Collect and reconcile receipts for accurate tracking
-
Maintain proper financial documentation and accountability
-
Monitor cleanliness and completion of site cleaning checklists

Ensure supplies are stocked and reordering needs are communicated

Oversee program vehicle cleanliness, maintenance, and inspections

Track and support vehicle equipment (e.g., cameras where applicable)

Promote a safe, clean, and organized environment

Follow and uphold all health, safety, and organizational policies

Report hazards, risks, or maintenance issues promptly

Work collaboratively with the Day Program Leader on operational priorities

Assist with coordinating staff tasks and resolving daily issues

Provide operational coverage support when required

Perform other related duties as required to support program operations

Experience in disability services or community-based programming preferred

Familiarity with person-centred approaches and L’Arche values is an asset

First Aid/CPR certification (or willingness to obtain)

Non-Violent Crisis Intervention (NVCI) certification (or willingness to obtain)

Strong computer and administrative skills (Word, Outlook, Excel, scheduling systems)

Valid Class 5 driver’s license preferred

Clear Police Information Check with Vulnerable Sector Screening

This position carries authority to carry out operational duties as delegated by the Day Program Leader.
Performance is reviewed by the Day Program Leader on at least an annual basis.
