The Administrative Support position is responsible for the efficient delivery of daily administrative tasks for all WFN Departments as required and delegated by the Administration Lead.
Greets and directs clients in a friendly and professional manner in person, by phone, and through email
Provides assistance in the preparation of all newsletters, community deliveries, and mail outs
Maintains a neat and welcoming workspace, including the lobby and kitchen area
Provides assistance with attendance procedures
Manages boardroom bookings
Provides general clerical assistance to all WFN departments including but not limited to:
Support with photocopying, sorting, filing and binding
Organizing or assisting with events
Ordering various committee meeting lunches
Preparing emails, posters, and other correspondence
Knowledgeable on all office equipment such as copier, binding machine, and postage meter (operation, maintenance, and service)
Assisting in minute taking for various meetings as required
Completing opening and closing procedures and daily tasks
Orders business cards for new staff
Maintains the staff directory
Maintains supply inventory by checking stock to determine inventory level; anticipates supply needs; places and expedites orders; verifies receipt of supplies
Provides assistance to the Trading Post when needed including but not limited to:
Opening and closing; ensuring arming and disarming the alarm
Costumer service, including cash and sales
Provides assistance to the 2nd floor Development Services Admin when needed including but not limited to:
Operates the switchboard, directing clients and phone calls
Maintains front desk sign in sheets
Arranges couriers and daily mail
Performs all duties and responsibilities in accordance with the Westbank First Nation policies, standards, and procedures and as directed by the Administration Lead
Maintains strict confidentiality on all matters relating to the affairs of Westbank First Nation
Minimum Grade 12 or equivalent
Related courses and training to include computer skills, telephone/reception etiquette, and customer service, etc.
Three years of previous office experience with a minimum of one year reception experience
Two years of previous experience in customer service
Previous experience working with office equipment such as photocopiers, postage meters, and multiline switchboards (prefer minimum of 5 lines)
Previous experience working with Indigenous communities is preferred
OTHER QUALIFICATIONS, KNOWLEDGE AND SKILLS
Demonstrates strong administrative skills, sets priorities and multi-tasks in a fast paced environment
Demonstrates a high level of customer service with a positive demeanor
Intermediate ability in Microsoft Word, Outlook, Excel, Publisher and Adobe forms
Excellent written and verbal communication skills
Supports and encourages a respectful work environment
Strong organizational skills, works well under pressure, and meets deadlines
Ability to plan and organize a variety of events and functions
Knowledge of WFN programs and services
Ability to work well as a team and show initiative
Valid driver’s license with an acceptable driver’s abstract and reliable transportation is required
