We are looking for a new Purchasing Associate to support our Import Manager and Purchasing Team. You will manage business-related tasks for the team and ensure purchasing and production processes are followed to meet the company's expectation of cost, quality and deliveries.
To do this role properly you should have great business acumen, a detailed understanding of the full Microsoft Office suite, able to navigate professional communication with foreign vendors, be extremely fast at solving problems, and have previous relevant business experience.
Qualifications:
- Extreme level of detail orientation.
- Excellent problem solving skills.
- At least 3 years of experience with product imports, both to U.S.A. and Canada
- Aptitude with standard software such as OUTLOOK, EXCEL and WORD
- Proactive, enthusiasm and good team approach.
- Fluent in English, professional level verbal and written communication skills
- Fluent in Mandarin, professional level verbal and written is an asset
- Must be able to meet deadlines in a fast-paced quickly changing environment
ESSENTIAL DUTIES AND RESPONSBILITIES:
- Send artworks, printouts, samples to factories via email and courier.
- Unpack / Receive / label samples for Creative Department’s approval.
- Maintain the pre-production samples in various locations in an orderly fashion.
- Follow up with the samples requested.
- Maintenance of docket system at different levels, such as, SAMPLE ORDERED, SAMPLE RECEIVED, ORD QTY CFM, AT VENDOR, IN WHSE – all of them to be moved manually.
- Issue Orient Purchase Orders to Vendors.
- Issue Local Purchase Orders and follow up until it arrives to the warehouse.
- Record Landed Costs Analysis worksheet in the file summary
- Create / Scan carton barcodes for/from vendors.
- Update courier summary to record all courier costs.
- Update month end Open PO report.
- Daily follow up with factories regarding artworks, POs, barcodes etc.
- Check production pictures for all POs before shipment.
- Check production units when shipment arrives warehouse to verify products are satisfactory.
- Record and take pictures of new development samples as directed by Import Manager.
- Work on Special projects, as directed by Import Manager, e.g. update landed cost codes for each sku if there is a change in duty rate.
- Maintain Filing of IMPORTS dockets in the filing room.
