What You’ll Do
Reporting to the Senior Manager, Integrated Talent and within established policies, procedures, and guidelines, the Human Resources Assistant provides confidential, comprehensive administrative support across all Human Resources functional areas. This position supports effective administration of recruitment, onboarding, employee services, learning and development, HR records management, and HR projects.
The Human Resources Assistant plays an integral role in ensuring the efficient delivery of HR services by coordinating HR processes, maintaining employee records, supporting system administration, preparing reports and correspondence, and promoting a high standard of customer service, accuracy, confidentiality, and compliance with legislation, collective agreements, policies, and procedures.
The Human Resources Assistant will:

Support the delivery and administration of HR programs and initiatives across functional areas while maintaining strict confidentiality and professionalism.

Prepare correspondence, reports, presentations, forms, templates, meeting agendas, minutes, and other HR documentation.

Coordinate calendars, meetings, interviews, training sessions, and employee events.

Assist with policy and procedure updates, process improvements, workflow documentation, and records maintenance.

Maintain accurate employee files, HR databases, tracking systems, and electronic records in accordance with organizational policies and legislative requirements.

Process employee transactions, status changes, and personnel documentation while ensuring data accuracy and integrity.

Maintain records related to recruitment, onboarding, employee development, leaves, layoffs, recalls, and other HR activities.

Provide administrative support for recruitment and staffing activities for seasonal, student, bargaining unit, and management positions.

Assist with the coordination of job postings, candidate communications, interview scheduling, assessment administration, reference checks, and recruitment documentation.

Support recruitment initiatives and events, including job fairs, career fairs, educational partnerships, and community outreach activities.

Maintain recruitment tracking tools, workforce metrics, and staffing reports.

Prepare and distribute employment contracts, offer letters, onboarding packages, and other new hire documentation.

Coordinate administrative onboarding activities, including orientation scheduling, benefits and pension enrolment documentation, system access requests, identification badges, and employment compliance requirements.

Provide administrative support for learning and development programs by coordinating registrations, scheduling, attendance tracking, training records, and learning management system updates.
What You’ll Bring

Post-secondary diploma or degree in Human Resources Management or a related discipline, or an equivalent combination of education and experience.

One (1) to three (3) years of experience providing administrative support in Human Resources.

Completion of, or progress toward, a CHRP or CHRL designation is considered an asset.

Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.

Experience with HRIS, Applicant Tracking Systems (ATS), Learning Management Systems (LMS), payroll systems such as ADP, and workflow mapping software such as Visio is considered an asset.

Experience supporting recruitment, onboarding, employee records management, and HR coordination activities. Experience working with HR information systems, applicant tracking systems, learning management systems, and payroll-related processes.

Experience working in a unionized environment is preferred.

Demonstrated ability to manage multiple priorities in a fast-paced environment with exceptional organizational and recordkeeping skills.

Strong communication, customer service, problem-solving, and interpersonal skills.

Knowledge of employment-related legislation and HR best practices.

Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
