Detailed Overview: Reporting to the Coordinator, Community Respiratory Services, schedules and books appointments for program staff. Transcribes medical dictation from the Respirologist and Respiratory Therapists such as client histories, consultations, interpretations and test results. Enters data into appropriate database systems and extracts and formats financial and clinical information. Performs a variety of clerical and receptionist duties. Responsibilities:
- Schedules and books home visits and clinic outpatient appointments for the Community Respiratory Service in consultation with the Respirologist and Respiratory Therapist staff. Schedules and makes follow-up appointments as required.
- Performs receptionist duties such as greeting and directing clients, arranging and confirming appointments/meetings, answering the telephone, and routing calls and relaying messages to the appropriate person.
- Transcribes, formats, and types material such as medical dictation from Respirologist and Respiratory Therapists including client histories, consultations, interpretations, and test results. Forwards and/or files documentation.
- Types and maintains material such as correspondence, policies and procedures, manuals, minutes, memos, and reports utilizing word processing, database, and spreadsheet applications.
- Sets up and maintains filing systems for a variety of program records such as manuals, client records, correspondence, reports, vendor/billing information, and minutes by performing duties such as creating and labeling files, developing forms, indexing materials, and filing.
- Performs a variety of clerical functions such as ordering supplies, photocopying, and sending and receiving faxed correspondence. Opens, sorts, and distributes incoming mail. Prepares outgoing mail for distribution.
- Receives invoices from vendors and checks for accuracy against the appropriate database. Corrects and/or adjusts the invoices and submits to the Coordinator for approval. Submits approved invoices for payment according to procedures.
- Inputs data and information, such as procedures and client information, into the appropriate computer system. Updates client information as changes occur and as advised by the Respirologist and Respiratory Therapy staff. Inputs data for payroll for approval by the Coordinator.
- Extracts, compiles, creates reports, and graphs information by utilizing the appropriate computer systems and office software. Compiles and submits period end statistics and reports as required.
- Performs other related duties as required.
Qualifications:
Education and Experience
Grade 12, graduation from a recognized Medical Office Assistant program plus one year of recent related experience or an equivalent combination of education, training, and experience.
Skills and Abilities
- Ability to communicate effectively both verbally and in writing.
- Ability to type 50 wpm.
