About the role
Brij Professional Corporation is a growing tax firm serving Canadian and cross-border clients. As our co-op program scales, we're adding an Administrative Assistant to handle high-volume, detail-critical support tasks — freeing our Practice Manager and Client Services Coordinator to focus on higher-level work. This is a process-driven role for someone who takes pride in accuracy, organisation, and reliability.
What you'll do
- Receive, log, and upload client documents; maintain portal organisation and naming conventions
- E-mail management and office administrative tasks
- Prepare standard client communications from templates at the direction of the Client Services Coordinator
- Maintain the master deadline calendar; alert the Practice Manager to upcoming CRA and IRS filing deadlines weekly
- Support co-op onboarding: prepare workstations, manage system access requests, assemble welcome packages, and schedule orientation
- Track co-op student time logs and compile them for the Practice Manager's bi-weekly review and payroll processing
- Maintain the contractor insurance and designation renewal calendar; issue 60-day advance renewal notices
- Prepare contractor remittance statement packages for Practice Manager review
- Run standard Karbon reports (overdue jobs, upcoming deadlines, capacity) on a weekly schedule
- Other duties as assigned
What we're looking for
- 1–2 years in a professional services administrative role, or a returning Brij co-op student with Term 1–2 experience
- Strong Microsoft 365 proficiency and comfort with cloud-based systems and portal technology
- Exceptional attention to detail and process discipline — accuracy matters more than speed
- Absolute discretion with client and contractor financial information
- Bachelors degree graduate preferred; college diploma in business administration is acceptable
- Strong executive function — natural ability to plan, prioritize, self-correct, and follow through without prompting
- Detail orientation with big-picture awareness — catches errors but understands why accuracy matters in context
- Comfortable with ambiguity — cross-border work is rarely black and white; they don’t freeze when instructions are incomplete
- Fast, independent learner — regulations, systems, and processes will change frequently in a growth stage
Your growth path
Motivated candidates can move into a Client Services Coordinator role within 18–24 months. Returning Waterloo co-op students who already know our systems can progress even faster. We promote from within wherever possible.
Pay: $44,000.00-$52,000.00 per year
